Job Title: Executive Assistant to the CEO

Amersham

Job Purpose

Creating an efficient and effective office environment, supporting the Co CEOs in all aspects of their Business dealings. Acting as the conduit between Group/Directors/Senior Managers/Staff in the UK and International offices and the CEOs for all business-related matters.

You will be the go-to person for up to date information regarding all aspects of the business and be the back-stop for all business issues to prevent them from going off the radar.

You will assist the efficient and effective time management of the CEOs, help prioritise the important from the urgent and provide general day to day help to keep meetings, diaries and travel plans on track.

Responsibilities

• Take ownership for ensuring that all emails on business-related matters are answered or actioned in a timely manner.

• Ensuring that all business reports, documents, letters required by the CEOs are prepared on a timely basis and filed after use.

• Signatures (ensuring important invoices and legal documentation is signed in a timely manner).

• Planning of itinerary for all business trips UK and internationally and Tvarious events

• Liaise with operational functions to ensure things are staying on track, that the CEOs views are correctly communicated and that their questions are answered in a timely manner.

• Business meeting preparations (research and document production prior to meetings).

• Organise and prepare Bi weekly company team meetings

• Board meetings (pulling together board papers from Directors and Senior managers, chasing relevant individuals for slides, putting together the snapshot for the CEO\’s to present to the Board)

• Assistance in writing speeches, company communications or presentations for events (e.g. Company Conference)

• Annual conference – Organising this with relevant departments. Liaising with conference team

• Customer complaints or general communications with external parties (monitoring if any external steps need to be taken)

Skills & Experience

• Experience of working with an entrepreneurial business in a fast paced & commercial environment.

• Advanced in Excel and Powerpoint skills.

• Good IT / Hardware knowledge

• Excellent numerical, analytical skills & report and research ability.

• Solid experience of diary planning and stakeholder liaison.

• Resilient and able to deal with ambiguity.

• To be a self-starter, hands on, prepared to take on ad-hoc and practical tasks and able to multi task with strong time management skills.

• Ability to get into the detail and provide concise practical summaries.

• Helpful and positive nature.
