This role will be conducted in tandem with an apprenticeship course which integrates training alongside a full-time role. The apprenticeship program is a Level 3 Project Control Technician Apprenticeship provided by London Metropolitan College. Working with organisations to improve how they plan, deliver, and govern change, CPS combines consulting expertise with practical technology solutions that support better business outcomes. Reporting to the PMO Manager, the role of the CPS PMO Analyst is to support the transition of work from Sales to Delivery and then through to closure by acting as a supporting role and by applying governance to support processes outlined by the business.

The PMO Analyst will also produce analytics to confirm the status of resource utilisation, project execution, and time recording. The PMO Analyst will be handed existing tools (Microsoft Project Online / SharePoint / Power BI / Dynamics365) and processes to develop and extend as appropriate and agreed with CPS stakeholders. The PMO Analyst will also be required to manage some smaller projects and provide an assurance role on some larger projects as needed.

  • Sales Operations
    • Meet weekly with Sales team to discuss pipeline and recent wins.
    • Initiate handovers from Sales to Professional Services that have not already been triggered.
    • Monitor New Sales Wins log for smaller bits of work and confirm that they are owned by the correct department.
    • Ensure the CPS Order Book for received Purchase Orders is accurate as the central point of project cost performance management.
    • Create and review project plans within Project Online to make sure pre-sale commercial status is being accurately reflected – making sure proposal plans have the correct likelihood, start date, and resource estimate is accurate.
    • Make sure an appropriate Engagement Lead and Technical Lead are assigned to the opportunities and that any assignment issues are escalated to the PMO Manager/Delivery Lead.
    • Verify and close opportunities according to the New Win process.
  • Governance & Compliance
    • Confirm all handover events/documentation are being executed.
    • Work with the Project Management department to ensure the successful running of projects (e.g. scope/budget deviations have change requests signed off).
    • Ensure Whereabouts (overall resource picture) is smoothed out and elevate double-bookings.
    • Monitor compliance reports to ensure timely adherence to process from all resources.
    • Facilitate timesheet verification.
    • Record non-compliance in: Timesheet entry, Daily Progress Updates (DPU) entry, Plan management (generic/named resource forecast).
    • Monitor issues with project budgets (under/over-spend).
    • Assist with Utilisation and Forecasting reporting.
    • Raise all compliance issues to the PMO Manager to review.
    • Organise and attend weekly Project Review Boards (PRB).
  • Resourcing
    • Support/assist Engagement Leads and Practice Leads in resourcing plans, managing resource contention/overload, seeking guidance on prioritisation where needed.
    • Monitor internal time and update time entries into the appropriate plans.
    • Help to develop and maintain the CPS skills matrix.
    • Follow New Starter process to onboard new resources.
    • Complete Leaver checklist for all exiting employees.
    • Analyse weekly overview of availability across all consultants to maximise utilisation.
  • Project Management
    • Use the Delivery Framework to manage a selection of smaller projects.
    • Administer small engagements.
