One of my local government clients are currently recruiting an experienced Senior Administrative Officer on a temporary basis. This is a 3-month minimum contract with the possibility of the role being extended further to work Monday to Friday 9:00am to 5:00pm.

Hybrid working role where, however, you will be required to attend the office 2/3 times a week.

Overview:

To provide efficient, effective and professional operational day to day support to two Directors (Director of People and Organisational Development and Director of Communications, Engagement and Change), and their teams as required.

Responsibilities:

  • To be the Personal Assistant to two Directors, providing high level professional support and assistance ensuring the Directors’ needs are effectively met and managed.
  • To balance the different and sometimes competing priorities between both Directors and provide solutions to ensure appropriate support.
  • To ensure that complex schedules and diaries are maintained accurately, making informed judgements based on understanding competing demands of the services, and prioritising appointments appropriately.
  • To monitor and filter incoming enquiries and emails, using judgment to respond or redirect according to nature, sensitivity and urgency.
  • To arrange meetings including the co-ordination of diaries, room bookings, the preparation and circulation of agendas and taking minutes as required.
  • To plan, organise and coordinate internal and external meetings, functions and events on behalf of the Director(s) or their teams.
  • To ensure the Director is suitably briefed and prepared ahead of meetings, and that they are kept informed about relevant changes and developments in a timely manner.
