This role combines leadership and administrative responsibilities to oversee and support transportation service operations, vehicle management, driver onboarding and training, and administrative coordination. The position ensures compliance with regulatory standards, supports continuous improvement in transportation service delivery, and manages related administrative workflows.
Key Responsibilities
- Leadership and Service Management
- Lead and motivate the transportation services team, including driver management and development.
- Partner with client operations management to ensure high-quality service delivery aligned with SOW and DOT safety standards.
- Recommend system and process improvements for enhanced service efficiency and resource utilization.
- Manage project plans and collaborate on cross-functional operational initiatives.
- Provide timely, professional communications regarding vehicle provisioning and service changes to relevant stakeholders.
- Act as an escalation point for any operational risks or issues related to vehicle provisioning and transportation services.
- Driver and Training Management
- Oversee driver onboarding/offboarding processes ensuring all orientation, certification, and training requirements are met.
- Schedule and deliver induction programs, safety, operational, and other training courses.
- Manage and monitor driver training schedules, completion of statistics, and ensure compliance with relevant induction requirements.
- Liaise with Quality Assurance teams regarding training, transport, and safety audits.
- Vehicle and Maintenance Coordination
- Plan, coordinate, and maintain preventative maintenance activities for transportation vehicles.
- Oversee vehicle maintenance procedures, reporting progress, and maintaining accurate maintenance records.
- Execute requests for new vehicles according to company and client plans and policies.
- Maintain detailed vehicle registers and driver records, including insurance, certifications, and DOT compliance documentation.
- Coordinate vehicle onboarding documentation with leasing, insurance partners, and internal stakeholders.
- Ensure vehicles meet company and client safety and quality standards.
- Administrative Support and Reporting
- Manage training schedules, calendars, and availability for vehicle maintenance and training sessions.
- Maintain and update vehicle and driver databases using Geotab and internal platforms such as SharePoint.
- Prepare and distribute high-standard paperwork and records for internal and external customers.
- Build and update accurate reports and presentations (QBR, MBR) for management and client reviews.
- Track and process training confirmations, cancellations, and queries as the first point of contact.
- Support the development and publication of training materials and content across transportation programs.
Qualifications
- Proven leadership and people management skills with the ability to influence and motivate teams.
- Excellent IT and administrative skills with strong proficiency in Microsoft Office (PowerPoint, Word, Excel) and Google Suite tools.
- Strong communication and presentation skills, effective in liaison across organizational levels.
- Experience in transportation, safety, training, or operational roles is desirable.
- Ability to plan, organize, and manage multiple priorities and complex workstreams simultaneously.
- Self-motivated with attention to detail and a forward-planning approach.
- Familiarity with regulatory compliance, DOT standards, and vehicle safety management.
- Customer relationship management focus and problem-solving capabilities.
Preferred Qualifications
- Minimum 2 years of client service or operations management experience.
- Foundation or certification in project management and transportation safety.
- Experience with North American Transportation Management Institute (NATMI) principles or similar standards.
