Whitestone Surgery in Nuneaton is looking for a Receptionist to join our team. The Receptionist will be a friendly, professional first point of contact for patients, visitors and callers, and will support the practice team in delivering high quality patient care.

Responsibilities

  • Arrive in good time to start the session promptly and remain on the premises until all patients have been seen and the session has finished.
  • Meet and greet patients, members of the public and visitors in a friendly and courteous manner.
  • Offer general assistance to the practice team and project a professional image to patients and visitors, in person or via the telephone.
  • Facilitate effective communication between patients, the practice team and other stakeholders.
  • Ensure an effective and efficient reception service is provided to patients and visitors.
  • Provide an efficient, courteous and responsive reception and telephone service to the public.
  • Participate in new initiatives and improvements in service delivery; promote equal opportunities and accessibility for service users.
  • Actively pursue personal development and take advantage of training provided.

Appointments

  • Process appointment requests by triaging calls, assessing priorities and initiating action as required.
  • Handle completed repeat prescriptions to patients.
  • Offer solutions and actively listen to patients to resolve issues.
  • Chaperone during consultations as requested and check patients in on arrival.
  • Check contact details on arrival and monitor patient flow into consulting and treatment rooms.

Operations

  • Receive, assist and direct patients to the appropriate service or healthcare professional in a courteous, efficient manner.
  • Deal with general enquiries and collate patient data as directed.
  • Carry out a range of administration duties including word processing and data input (SystmOne) and other duties as required.

Patient Registrations

  • Process new patient registrations and changes of details using appropriate systems.
  • Ensure up-to-date information is available through liaison with team members.

Facilities

  • Keep reception area tidy and stocked; replenish forms and supplies; maintain security and knowledge of building procedures.

Other Tasks

  • Participate in performance review meetings and maintain your own personal/professional development records.
  • Undertake administrative duties to support the service and assist clinical staff and the practice team.
  • Support other targeted services delivered by Coventry and Rugby GP Alliance; participate in induction/training of new staff as needed.

Qualifications

Essential

  • Educated to GCSE level or equivalent
  • NVQ or equivalent in Administration/Customer Service
  • Experience of Microsoft Office applications
  • Experience of team working

Desirable

  • ECDL or equivalent
  • Customer service experience
  • Working in a public reception environment
  • Working with SystmOne
  • Previous receptionist experience
  • Previous administration experience
