Main duties of the job
- Overall responsibility for the management of the Alliance Teaching Practices.
- Responsible for the direct supervision and line-management of 2 Deputies and 2 Site Leads, and any other staff as required by the respective service.
- The Group Practice Manager will be responsible and accountable for monitoring, maintaining and providing the highest standards of leadership, administrative and analytical support and service delivery.
- This could be a part-time position depending on the candidate, but the post holder will be expected to be flexible with regards to normal work hours to fit in with needs of the business.

Job responsibilities
- Support the site managers in the effective operational management of the services, meeting agreed performance objectives including year on year clinical, financial and productivity targets.
- Manage the day to day running of Alliance Teaching Practices located across Coventry.
- Ensure that communication channels are used effectively to facilitate the flow of information between the practices, staff, service users and the Alliance.
- Work collaboratively with the Data Analyst and key Practice staff to ensure robust reporting tools for the key performance indicator data, reporting on the progress, issues and risks to the Head of Operations.
- Assist with the identification and setting of objectives and goals, being clear how outcomes can be recognised and measured and put in place remedial actions as required.
- Be responsible for managing the practice management team including daily and formal supervision, as required.
- Conduct formal meetings and training activities (including updates) etc. as required, sometimes off-site and out of normal hours.
- Delegate and allocate duties to staff ensuring that guidance and supervision are given, constantly monitoring skills and identifying training needs.
- Monitor deadlines, workloads and performance of each practice and produce reports as appropriate.
- Monitor and audit the progress of the QOF and Enhanced Services to maximise income.
- Keep updated on the latest development in primary care IT including DoH initiatives such as EPRs and disease coding and regularly update the practice management team.
- Ensure safety and relevant legislation, policies, standards and guidance are followed and met, liaising with the Safety and Quality team.
- Ensure the practices are compliant for NHS and Statutory Obligations, including developing new practice procedures and protocols as required with CRGPA colleagues.
- Ensure that all members of the team feel that they are contributing to the development of the practices.
- Create an environment that supports a continuous improvement and innovation ethos and ensures team members are facilitated to embrace change.
- Develop and manage the practice/PCN PPG, ensuring systems are in place for member recruitment.
- Adopt a strategic approach to the development and management of patient services.
- Oversee team rotas, holiday, and sickness cover to ensure full service is maintained.
- Maintain effective patient feedback systems and share learning.
- Maintain the significant event reporting system and share learning.
- Ensure service development and delivery is in accordance with local and national guidelines.
- Ensure that the practice complies with NHS contractual obligations in relation to patient care.
- Maintain registration policies and monitor patient turnover and capitation.
- Oversee repeat prescribing systems.
- Oversee and manage effective appointments systems.
- Routinely monitor and assess practice performance against patient access and demand management targets.
- Maintain effective complaints management system with the Safety and Quality team.
- Ensure the provision and maintenance of high quality, efficient service delivery which promotes the Alliances values and ethos.
- Responsible for ensuring effective links between Practice Management, Clinicians and Warwick Medical School to create a good experience for Medical Students.
- Oversee recruitment and induction of all new staff recruited in Alliance Teaching Practices.
- Contribute to an effective programme of training, staff development and appraisal, including the maintenance of accurate records.
- Ensure robust practice meetings are in place to develop team ethos and to deliver good quality patient care.
- Work in partnership with others including colleagues in other teams at the service and wider organisation, as well as liaising with external stakeholders and PCNs.
- Be conversant with the practice budgets and contribute towards the management of the overall budget.
- Be responsible for the petty cash and liaising with the Finance Team over the management of this.
- Undertake additional responsibilities as requested by the Chief of Operations.
- Ensure any submission of any claims/audits is submitted to meet deadlines and keep such records as to be able to check payments/authorisation.
- Maintain effective operational support for Alliance Teaching Practices.
- Ensure the practice plays an active role in the local PCN.
- Work in a matrix style environment with staff from all teams working across a range of different services.
- Work across sites as required.
- Develop and maintain Business Continuity Plan specifically for the Alliance Teaching Practices.

Person Specification
Experience
- Previous primary care management experience.
- Writing and reviewing comprehensive personalised support plans including risk assessments.
- EMIS experience.
- Experience of strategic business planning.
- Experience of dealing with the public/patients.
- At least 5 years management experience in the NHS or in practice management.
- Experience of working with regulatory bodies and preparing for inspections.
- Understanding and awareness of Care Quality Commission - CQC inspections.
- Understanding of Primary Care Networks.
Qualifications
- Evidence of a sound education and management qualification or equivalent experience at graduate/postgraduate level.
- Evidence of a commitment to continuing professional development.
