Overview

This is a fantastic and unique opportunity for a Part Time Menswear Buying Admin Assistant to work in-house for an independent, London-based, multi-brand store. This is a fixed-term contract for 12 months, for 3 days a week in our Notting Hill office (weekdays only).

We are looking for a Part Time Menswear Buying Admin Assistant with high administrative and organisational skills. Reporting to the Menswear Buyer, you will provide unrivalled help and support in all administrative tasks. A head for numbers is critical as well as experience in large amounts of data entry. By working within a small team, you will have the opportunity to learn other areas of a fashion business.

We are looking for someone who has excellent communication and organisational skills, with the ability to multi-task, juggle and prioritise. It is of the utmost importance that you are able to use your own initiative and are well-organised. Most importantly, you love working with people and are enthusiastic, outgoing with a can-do attitude. You will have excellent I.T. skills (both Windows and Mac) and be highly proficient at Microsoft Excel.

Responsibilities

  • Support the buyer in the ordering process: preparing online photo boards, Excel sheets and checking order confirmations to 100% accuracy.
  • Compile new product and supplier information for Web department and store staff.
  • Complete large amounts of data entry. Manage the full EPOS process, from entering all product lines to inputting purchase orders to the EPOS system before products are delivered to the business.
  • Monitor and raise all discrepancies between deliveries received and purchase orders.
  • Export daily and weekly sales reports from the EPOS system to share with team.
  • Track all products in the business and their status: whether they have been shot flat and on model, retouched and live online. Check all online products have correct copy, pricing and imagery. Check all links are correct in newsletter communications.
  • Track all upcoming deliveries with SKU numbers and delivery dates and inform store, studio and web teams of any changes.
  • Create packing lists prior to each photoshoot, transport product between the store and in-house studio and steam clothing in preparation of the shoot.
  • Maintain awareness of competitor activity, both internationally and within UK. Undertake competitor analysis and product evaluations, and ensure pricing is aligned for every product. Monitor competitors’ discount, marketing and social media strategies, website features and identify new product opportunities.
  • Undertake general administrative duties including ordering office supplies, filing, photocopying, scanning, emailing and screening calls.
  • Monitor and log all petty cash spent in the office and file a monthly report to the accounts department.

Desired Skills and Experience

  • You are highly proficient in Microsoft Excel, confident in inputting large amounts of data, as well as navigating through data to interpret and analyse reports
  • You have working knowledge of an EPOS system, preferably CEGID
  • You are detail orientated with excellent organisational and administrative skills
  • You have excellent knowledge of our market, products and competitors
  • You can take ownership of all assigned projects and use your own initiative
  • You can multi-task, juggle and prioritise several different projects at once
  • You have excellent written and verbal communication skills and high level of numeracy: Grade B / Level 6 or above at GCSE in Maths and English
  • You are able to work 3 days a week from the office in Notting Hill, London (weekdays only)
  • You have a visa / citizenship that gives you a right to work in the UK
