We are looking for a motivated, committed and trustworthy individual to assist in the management of expenditure in support of National Security investigations. The post holder will be responsible for handling and accounting for the movement of cash and financial records across multiple accounts, ensuring all transactions are accurately recorded. This includes carrying out monthly reconciliations and maintaining robust financial records to support operational requirements.
Responsibilities
- To assist in delivering a financial infrastructure enabling the safe deployment of Op Support resources. This includes the management of auditable and accountable record keeping.
- To assist in the management of CTPNW Op Support budgets including the preparation of detailed funding bids, regular forecasting and accountability of expenditure.
- To collaborate with partner agencies to protect tactics and enable accountability in financial audits.
- To assist in maintaining administrative systems in relation to property and equipment used by the CTPNW Operational Support in order to ensure adherence to maintenance schedules, compliance with legal obligations and maintenance of an audit trail.
- Manage, develop and support the maintenance of IT databases in relation to facilities used by the unit, developing systems to ensure that potential compromises are identified and avoided. This will include regular liaison with national groups and the National HUMNT Unit (NHU) to share assets, reduce financial expenditure and promote best value.
- To control the unit’s petty cash system including issuing cash in accordance with current guidelines and keeping accurate records in line with force policy and directives. Process the teams’ expenditure (banking and cash) and consolidate into monthly audit reports in accordance with financial procedures.
- Act as Single Point of Contact (SPOC) for the banking institutes, to create and maintain bank accounts for CTPNW Operational Support.
- To comply with Northwest Regional Force financial procedures.
- Liaise with the CTPNW Head of Operational Support to facilitate the replenishment of bank accounts and petty cash ensuring all accounts reconcile.
- Preparation of quarterly financial returns within set deadlines.
- To personally utilise documentation to support CTPNW infrastructure.
- Always maintain the security and confidentiality of all information and assets to ensure operations and infrastructure is not compromised.
- Transfer Official documents between Local and National computerised systems.
- Provide cover for the Op Support Finance and Facilities Manager during periods of annual leave and sickness.
- Actively contribute to operational meetings in a clear, concise and relevant manner, ensuring decisions and actions are communicated to appropriate personnel.
- Monitor and collate records relating to operational expenditure including collating overtime records, on call allowance and update duty sheets for both internal and external staff. This will include liaison with other agencies/forces to raise overtime invoices for officers working out of force.
- Complete general administrative duties including raising purchase requests, processing invoices, booking travel and liaising with the College of Policing.
- Manage sensitive and confidential information relating to psychological support, personal details and welfare records relating to staff.
