The Opportunity: Coterie is opening an exciting new destination at 26 Grosvenor Street in the heart of Mayfair. In addition to serving as Coterie’s flagship headquarters, 26 has been designed as an elegant private hospitality destination where business, dining, and exceptional experiences come together. The venue will host bespoke private dining, intimate wine tastings, executive meetings, and carefully curated private events within beautifully designed surroundings. Every event is tailored to the individual. We believe in genuine hospitality, meticulous attention to detail, and creating experiences that feel personal rather than transactional.

Ahead of our opening in September 2026, we are looking for a highly organised and proactive Events Coordinator to join our team and support the successful delivery of our hospitality program.

Role Summary: As the Events Coordinator, you will play a vital role in supporting the daily operations of our events department and ensuring the seamless delivery of guest experiences. Working closely under the guidance of the Events Manager, you will handle key administrative duties, manage event documentation, assist with client inquiries, and provide hands-on support during live events. This role is ideal for an enthusiastic, detail-oriented professional looking to build a career in luxury hospitality. You will collaborate closely with our Reception, Kitchen, and Hospitality teams, acting as a key link that ensures no detail is overlooked and every event is executed to the highest standards.

Primary Responsibilities:

  • Administrative Support: Assist the Events Manager with managing the events inbox, answering initial telephone inquiries, and scheduling client site visits and tastings.
  • Documentation & Coordination: Prepare and distribute detailed event documentation, including function sheets, event timelines, table plans, menus, and place cards.
  • Systems Management: Maintain accurate database records, input bookings, and update guest preferences using SevenRooms or our designated CRM platform.
  • On-the-Day Delivery: Provide hands-on assistance during event setup, guest arrival, and event breakdown, ensuring the venue is immaculately presented at all times.
  • Internal Liaison: Communicate event details, dietary requirements, and schedule changes clearly to the kitchen, reception, and hospitality floor teams.
  • Client Relations: Deliver warm, professional, and personalised service when greeting clients, conducting preparatory walkthroughs, or assisting during live events.
  • Inventory Control: Monitor and manage events-related inventory, including menus, stationary, and bespoke client materials.

Required Skills and Experience: We are looking for an energetic team player who is passionate about luxury service and possesses the following:

  • Experience: Minimum of 1 year of experience in a support, administrative, or operational role within luxury hospitality, premium restaurants, private clubs, or high-end venues.
  • Organization: Exceptional organisational and multitasking skills, with a proven ability to manage multiple small tasks and deadlines simultaneously.
  • Attention to Detail: A meticulous approach to work, ensuring documents, table settings, and schedules are accurate and flawless.
  • Communication: Excellent written and verbal English, with a professional, warm, and confident communication style suitable for high-profile clientele.
  • Tech-Savvy: Competent in Microsoft Office (Word, Excel, PowerPoint). Previous experience using SevenRooms or a CRM/event booking software is highly desirable.
  • Attitude: A proactive, "can-do" attitude with a genuine passion for hospitality and a desire to learn and grow within the business.
  • Flexibility: Flexibility to work evening and occasional weekend hours to support event execution as required.

Working Pattern: This is a venue-based role at our Mayfair headquarters. Due to the hands-on nature of event preparation and delivery, you will be expected to work primarily on-site, closely aligned with our operational calendar.
