Due to project growth, we are looking for a Document Control Manager to join a landmark energy project in Teesside. The Document Control Manager leads the implementation, management, and continuous improvement of document control systems, processes, and standards across projects. This role ensures all documentation is accurate, compliant, traceable, and easily accessible, aligning with organisational and regulatory requirements. The Document Control Manager plays a critical role in supporting project delivery and quality outcomes through structured information management and team leadership. Based on site in Teesside a minimum of 3 days a week.

Responsibilities

  • Develop, implement, and maintain document control procedures, standards, and systems.
  • Ensure compliance with relevant regulatory, contractual, and company documentation standards (e.g., ISO 19650).
  • Manage the full document lifecycle: creation, review, approval, distribution, retention, and archiving.
  • Lead, mentor, and develop a team of document control professionals.
  • Set performance objectives, conduct appraisals, and oversee training initiatives.
  • Promote a culture of high performance, collaboration, and continuous improvement.
  • Administer and optimise the use of Electronic Document Management Systems (EDMS).
  • Ensure data integrity, user access control, and system functionality.
  • Drive system upgrades, user training, and support.
  • Collaborate with project managers, engineers, and stakeholders to meet information management needs.
  • Coordinate document reviews, approvals, and external/internal submissions.
  • Provide clear reporting on document control metrics, compliance, and project readiness.
  • Conduct regular audits of document control practices.
  • Implement corrective and preventative actions to address non-conformities.
  • Maintain detailed records of audits, inspections, and compliance checks.
  • Champion best practices and technological advancements in document control and information management.
  • Identify inefficiencies and lead initiatives to streamline processes and increase automation and digital file systems.

Qualifications

Essential

  • Significant experience in document control, especially in a senior/managerial capacity.
  • Strong background in the engineering, construction, or infrastructure sectors.
  • Proven experience in implementing and managing EDMS solutions.
  • Demonstrated ability to lead teams and support major project delivery.
  • Experience in document audits, compliance assurance, and corrective action planning.

Desirable

  • Familiarity with ISO 19650, BS EN standards, or other industry-standard documentation frameworks.
  • Proficient in EDMS platforms (e.g., BC, Documentum, ProjectWise, SharePoint).
  • Strong Microsoft Office Suite skills (Word, Excel, Outlook, PowerPoint).
  • Knowledge of database management and digital file systems.
  • Bachelor’s degree in Engineering, Construction Management, Information Management, or Business Administration.
  • Certifications in document management, quality management, or project management (e.g., ISO 9001, PMP, PRINCE2).
