We require a Site Administrator/Document Controller to support our project office in Lincolnshire. Your responsibility is to ensure the efficient, day-to-day administrative operation of the project office. This includes coordinating and overseeing administrative duties as well as the coordination of any facilities-based functions within the office.
Responsibilities include:
- Document Control
- Greeting visitors
- Managing office supplies and equipment
- Overseeing contractors carrying out property repairs and inspections
- Owning budgets
- Supporting senior staff members with administrative tasks
- Management of office-based soft services such as cleaning, facilities management and site security

Additional Responsibilities:
- Assisting with the set up and administration of project systems and data for the office
- Facilitating site inductions and assisting onboarding process for new starters
- Managing all aspects of office duties: maintaining office and cleaning supplies and asset register; ordering materials for site: signage, kitchen and toilet supplies, office stationery, PPE, etc.
- Organising site visits, events and training courses: PPE, hotels, car hire, meeting room, lunches, etc.
- Copying onto server: plant inspections, check sheets, etc.
- Filing site deliveries, waste transfer notes, etc. in site files and SharePoint drive
- Taking weekly returns from subcontractors: hours, waste transfer notes, consignment notes, materials, fuel used, etc.
- Uploading some of this data with Sustainability Team on Moata
- Supporting safety team upload safety data on Capture Scribe weekly and monthly meeting minutes, distributing to attendees
- Managing meeting room
- Circulating team communications
- Filing and scanning items for folders
- Assisting with issuing/filing drawings on SharePoint and on site to site team
- Managing drawing register MDR/CDL with Engineering Dept.
- Managing document register, supporting the reviewers with revisions and issue of H&S documentation to client on SharePoint (H&S documents, CDM plans, etc.)

- Experience in a similar role is essential
