The Technical Services Supervisor is responsible for overseeing the delivery, quality, and efficiency of PPM administrative and scheduling functions across the business. This includes direct oversight of the Technical Services Admin Team, ensuring works are planned and delivered effectively through a structured, discipline-led approach. The role ensures efficient resource planning, allocation of engineers and subcontractors, and effective management of both urgent and planned works. This includes forward planning, workload balancing, and minimising missed or delayed jobs, while supporting strong SLA and KPI performance. Working closely with TSMs, ATSMs, and operational teams, the Technical Services Supervisor ensures all works are correctly assigned, progressed, and managed through to completion. The role also provides leadership to Technical Services Administrators, drives process improvements, and supports overall service delivery, financial performance, and client satisfaction.
Responsibilities
- Lead and oversee Admin and Scheduling functions, ensuring consistent delivery across all regions and contracts
- Drive WIP, SLA, and KPI performance through regular reviews, proactive risk identification, and corrective action
- Take ownership of financial performance across PPM works, including reviewing low-margin/loss jobs and supporting corrective actions
- Ensure system and data integrity across PPM jobs, including asset, revenue, and contract setup accuracy
- Support mobilisation and renewal of contracts, ensuring effective system setup and service readiness
- Act as a senior escalation point for operational, client, and system issues, ensuring timely resolution
- Lead continuous improvement of admin and scheduling processes to drive efficiency and consistency
- Oversee key reporting (WIP, SLA, Subcontractor performance), ensuring accuracy and insight
- Manage, develop, and support the Technical Services Admin team through performance management and development
- Lead recruitment, onboarding, and training to build team capability
- Deputise for the Technical Services Support Manager and provide regional leadership support when required
- Oversee subcontractor performance, including paperwork, PO/VO status, and escalations
- Maintain control of variations, invoicing processes, and weekly billing cycles
- Ensure effective management of job statuses, on-hold works, and backlog
- Represent the business in client meetings and support ongoing client relationships
Experience and Requirements
- Experience in a supervisory role within service delivery, FM, or scheduling environments
- Strong understanding of PPM, reactive, and remedial workflows
- Proven experience in resource planning and managing SLAs/KPIs
- Commercial awareness, including job costing and invoicing
- Experience with CAFM systems (e.g. Planon) and reporting tools
- Strong leadership, organisational, and problem-solving skills
- Confident communicator with the ability to manage multiple stakeholders
Desirable
- Exposure to contract mobilisation and process improvement
- Experience supporting senior leadership or deputising
- Knowledge of subcontractor management and supply chain processes
- Experience using BI/reporting tools for performance analysis
