We are recruiting an experienced Project Coordinator to join a specialist Projects and Events Logistics team based in Heathrow. This is a predominantly air export position, coordinating international freight movements for exhibitions, conferences, live events, corporate activations, touring productions and other specialist projects.

Previous air export freight forwarding experience is essential; however, full training can be provided across project freight, time-critical logistics, road and ocean freight.

Key Responsibilities

  • Manage start-to-finish air export shipments for international projects, exhibitions and events.
  • Arrange flight bookings, collections, deliveries and specialist transport.
  • Prepare export documentation, including commercial invoices, packing lists, air waybills and customs paperwork.
  • Complete export customs entries and ensure shipments comply with international regulations.
  • Develop detailed shipment schedules around fixed event, build-up and breakdown deadlines.
  • Liaise with airlines, hauliers, warehouses, customs agents, overseas partners, venues and production teams.
  • Track air freight shipments and proactively resolve delays, disruptions and last-minute changes.
  • Coordinate the movement of exhibition stands, AV equipment, production materials, merchandise and specialist project cargo.
  • Advise clients on routing, lead times, freight costs and documentation requirements.
  • Obtain freight quotations and compare carrier and supplier rates.
  • Monitor shipment costs and ensure accurate invoicing and job costing.
  • Maintain accurate freight records and provide regular updates to clients and internal teams.
  • Support road freight, ocean freight, temporary imports, re-exports and ATA Carnet movements following training.
  • Identify potential logistical risks and implement appropriate contingency plans.
  • Support on-site event logistics and time-critical deliveries when required.

Essential Skills and Experience

  • Previous air export freight forwarding experience.
  • Experience managing air export shipments from collection through to final delivery.
  • Good understanding of export customs procedures and international shipping documentation.
  • Experience preparing air waybills, commercial invoices and packing lists.
  • Strong organisational skills with the ability to manage multiple shipments and deadlines.
  • Confident communication skills when dealing with clients, airlines, suppliers and overseas agents.
  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Good IT skills, including Microsoft Office and freight forwarding systems.
  • Ability to commute to the Heathrow office.

Desirable Experience

  • Time-critical or urgent air freight experience.
  • Projects, exhibitions, events, touring or production logistics experience.
  • Knowledge of ATA Carnets and temporary import and export procedures.
  • Experience across road freight or ocean freight.
  • Experience working with venues, exhibition centres, event agencies or production companies.
  • Dangerous Goods awareness or certification.

Experience within events or time-critical logistics would be advantageous, but it is not essential as full training will be provided.
