Who are we looking for?
We are looking for a highly organised individual to work collaboratively with the Executive Assistant to ensure the efficient and effective support to our Board members and Senior Management Team. This dual-role position requires someone who thrives in a fast-paced environment, is an expert multitasker, and can juggle executive-level support with seamless office coordination.

What you will need:
  • Excellent communication skills and a strong customer focus.
  • Proven ability to plan and execute internal projects and events efficiently.
  • Strong skills in maintaining accurate records and documentation
  • Ex-Military experience and/or awareness/interest
  • Confidence and ability to establish and maintain good and effective working relationships at all levels.
  • Ability to work to deadlines, multitasking and working under pressure.
  • Excellent IT Skills including Microsoft Software Packages (e.g. Excel)
  • Able to achieve vetting to BS7858 Standards
What are you going to do:
  • Prepare reports, letters, presentations, agendas, and minutes to a high standard.
  • Handle travel bookings, accommodation, event tickets, and expenses reconciliation.
  • Administrative procedures, both manual and IT-based, to include formatting of documents and proofreading.
  • Managing correspondence, including emails, letters, and other forms of communication.
  • In conjunction with the Executive Assistant, coordinate the Company’s major events, e.g. annual conference and sponsored charity events.
  • Liaise with the London Archives on Corps Archive matters, which includes the continued development of our Archive and requests for information regarding former Commissionaires and general heritage enquiries.
  • Uphold the security and confidentiality of the Company’s data and appropriately handle sensitive information.
  • Maintain legal and compliance documentation.
  • Managing meeting room facilities and bookings, including preparing and arranging refreshments for meetings.
  • Point of contact for the facility management company in relation to maintenance of the building, liaison with neighbouring buildings and screen / field requests / queries.
  • Assisting and supporting facilities and services in the head office building, including weekly fire alarm tests, post distribution, and deliveries.
  • Implement company’s policies and procedures to enhance operational efficiency
