Job Summary

We are seeking a motivated and capable Business Operations Coordinator to support and coordinate the operational and administrative functions of the organisation. The successful candidate will play a key role in ensuring the smooth day-to-day running of the business by coordinating activities across departments, maintaining core administrative and operational systems, and supporting compliance and regulatory processes. This role will also contribute to improving internal processes, enhancing efficiency, and supporting leadership in maintaining alignment across teams. It requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Previous experience in the healthcare or medical devices sector would be an advantage.

Key Responsibilities

  • Coordinate and support day-to-day business operations, ensuring administrative and operational effectiveness across the organisation.
  • Act as a central point of coordination between departments to support alignment, communication, and timely delivery of key activities.
  • Support the administration of quality, compliance, and regulatory processes, ensuring documentation and records are accurate, current, and accessible.
  • Assist in developing, implementing, and maintaining policies, procedures, and SOPs to support consistent ways of working.
  • Maintain and organise core business documentation, including technical data sheets, product specifications, guides, and IFUs (Instructions for Use).
  • Support document control processes, including version management and updates in line with regulatory and internal standards.
  • Identify opportunities to improve administrative and operational processes, supporting the implementation of more efficient systems and workflows.
  • Contribute to data management and reporting activities to support operational visibility and decision-making.
  • Support leadership with coordination of operational priorities, ensuring tasks and projects are tracked and progressed effectively.
  • Work with digital tools and systems to manage information, improve workflows, and maintain accurate records.

Qualifications & Experience

  • Minimum of 3–5 years of experience in an administrative, operations, or coordination role (experience in medical devices or healthcare desirable).
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication skills, with the ability to work effectively across different teams and levels of the organisation.
  • Demonstrated problem-solving ability and a proactive approach to identifying and addressing issues.
  • Proficiency in Microsoft Office Suite and familiarity with digital tools and systems used for data and document management.
  • Good level of digital awareness, with an interest in improving processes through technology (including exposure to AI tools where appropriate).
  • Ability to work independently and collaboratively in a fast-paced, evolving environment.
  • Experience supporting or working alongside quality, compliance, or regulatory processes is desirable.
  • Previous experience coordinating tasks or supporting team productivity; formal line management experience is not essential but would be beneficial.
