The Role: Facilities and Maintenance Manager

I am working with a gorgeous and well-established restaurant group to find their new FM & Maintenance Manager. The group has 10+ sites, primarily in London, and are synonymous with exceptional food, service and environments.

We are looking for an organised, approachable and team-spirted individual to be responsible for FM and Maintenance across the estate. You will look after both the property and the equipment that keeps operations running smoothly every day.

With both customers and colleagues being of the utmost importance, you will ensure safety, compliance and efficiency through your role. Expect there to be lots of stakeholder management, from chefs and general managers through to contractors and landlords, this role will be integral to the business and you will need to have had experience in a multi-site restaurant business.

Key Responsibilities

  • Providing support for the site management with their day-to-day maintenance needs.
  • Attending site visits as required, meet with General Managers, Head Chefs, Bar Managers, and Operations team to ensure sites are maintained and operational.
  • Maintain, oversee and manage Pronett system (Access Maintain online portal). Raise and release call outs, raise and approve quote requests, review, and approve works. Query any incomplete or incorrectly completed works.
  • Chase and follow up with contractors for updates, reports, and remedial works.
  • Review and approve job reports and certificates. Action any remedial works
  • Producing and overseeing the maintenance schedule (odd jobs list on the maintenance portal – Pronett) to cover smaller jobs sites need completing
  • Maintain Pronett’s – Preventative Maintenance Visits (PMV) jobs. Arranging servicing (PPM visits) for all sites to ensure we are compliant with H&S regulations. Chasing reports, reviewing, and approving them. Querying where necessary.
  • Ensure all contractors public and product liability insurance certificates are up to date and uploaded on Pronett.
  • Check Risk assessments and Method Statements to cover works on sites, keeping managers informed and updated on works. Provide or submit PTW (permit to work) document as required with the landlords.
  • Plan, organize and oversee mini projects required on sites.
  • Reviewing insurance cover for each site when renewal due – (with the company’s insurance broker).
  • Reviewing Rent and Service Charge invoices, ensure accuracy within budgets both monthly and annually, challenging discrepancies if necessary
  • Creating and updating Reactive maintenance and Planned Preventative Maintenance (PMV) budgets
