Role Summary

The Office Manager is responsible for overseeing all aspects of office operations, maintaining an organized, efficient, and welcoming work environment to ensure the smooth day-to-day running of the office.

The role takes ownership of the office including facilities, supplier and vendor management, travel coordination, office events, and general office administration, while providing day-to-day administrative support to employees and the Leadership team as required.

Key Responsibilities

The key responsibilities of this role involve:

Office Operations & Workplace Management

  • Oversee the day-to-day running of the office, ensuring a clean, safe, organized and professional working environment.
  • Manage office facilities, liaising with building management and external suppliers for maintenance, repairs, cleaning, office services and workplace improvements.
  • Manage office supplies, kitchen consumables, stationery, branded merchandise and other workplace essentials.
  • Maintain office access, including access cards, office keys, visitor registrations and parking allocations.
  • Coordinate incoming deliveries, courier services and general office logistics.
  • Communicate office and building updates, including maintenance works, fire drills and access notices.
  • Continuously identify opportunities to improve office processes and enhance the workplace experience.

Administrative & Business Support

  • Provide administrative support across the business, including purchasing requests, printing, document preparation and general office administration.
  • Coordinate calendars, meeting room bookings and meeting logistics, including catering and visitor access.
  • Provide diary management support to the CEO and the Leadership team as required.
  • Coordinate domestic and international business travel, including flights, accommodation, transport, itineraries and travel logistics.
  • Organize office events, Lunch & Learn sessions, conferences and company events, liaising with venues and suppliers.
  • Welcome visitors and external stakeholders, ensuring a professional and positive experience from arrival through to departure.
  • Support onboarding activities by coordinating office access, workspaces and other workplace requirements for new joiners.

Educational Requirements

  • Suitable qualification/certificate in office management or business administration.

Work Experience

  • Relevant professional experience in office management, administration, workplace management, or executive support will be considered.
  • Proven ability to manage multiple priorities, work independently, and build effective relationships across all levels of the business.
  • Experience supporting diary management for senior stakeholders.

Technical Competencies

  • Excellent organisational and time management skills with strong attention to detail.
  • Proactive, hands-on approach with the ability to take ownership and use initiative.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience using collaboration and purchasing tools (e.g. Monday.com) is desirable.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
