We currently have a vacancy for a Senior HR Administrator at our Heathfield, Newton Abbott Office.

The Role:

Reporting in to the HR Business Partner you will be responsible for leading the day-to-day delivery of HR administration activities ensuring a high-quality, efficient and compliant service is provided to managers and employees. The role will supervise and support a team of HR Administrators, oversee the employee lifecycle administration process, maintain HR systems and records and act as a key point of contact for managers and employees. Working within a fast-paced highways and infrastructure environment, the Senior HR Administrator will help ensure the team delivers an excellent employee experience while maintaining compliance with employment legislation, company policies and industry standards.

Key Responsibilities:

  • Line manage, support and develop a team of three HR Administrators and any temporary HR Admin support.
  • Allocate workloads and monitor performance to ensure service standards are achieved.
  • Provide coaching, guidance and training to team members.
  • Conduct regular one-to-one meetings and performance reviews.
  • Identify opportunities to improve team effectiveness and administrative processes.
  • Oversee all employee administration processes from recruitment through to off boarding.
  • Ensure contracts of employment, offer letters and employment documentation are issued accurately and within agreed timescales.
  • Manage onboarding and induction administration for new starters.
  • Coordinate probation reviews and employment-related documentation.
  • Ensure leaver processes are completed efficiently, including exit documentation and system updates.
  • Maintain accurate employee records within the HR and payroll system.
  • Ensure employee data is processed in accordance with UK GDPR requirements.
  • Carry out regular audits of personnel records and HR systems.
  • Produce HR reports and management information as required.
  • Support system improvements and process automation initiatives.
  • Coordinate recruitment administration activities.
  • Manage vacancy approvals, advertising, interview scheduling and candidate communications as requested by the Recruitment Manager.
  • Support pre-employment screening, right-to-work checks and onboarding activities.
  • Ensure payroll-related changes are accurately processed and communicated within required deadlines.
  • Support the administration of employee benefits and reward programmes.
  • Liaise with the payroll team to resolve employee queries.
  • Ensure compliance with UK employment legislation and internal policies.
  • Maintain records relating to training, licences, qualifications and competency requirements.
  • Support audits and compliance reviews.
  • Assist with the preparation of HR metrics and board reporting information as required.
  • Review and improve HR administrative processes and procedures.
  • Identify opportunities to enhance employee experience and service delivery.
  • Support wider HR projects and organisational change initiatives.

Knowledge, Skills and Experience:

  • Significant HR administration experience within a busy HR environment.
  • Previous experience supervising or managing administrative staff.
  • Experience of managing employee lifecycle processes.
  • Experience of using HR and payroll systems.
  • Experience handling confidential and sensitive information.
  • Strong understanding of HR administration best practice.
  • Strong organisational and prioritisation skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to build positive relationships at all levels.
  • Problem-solving and decision-making capability.
  • Advanced Microsoft Office skills, particularly Excel, Word and Outlook.
  • Ability to work effectively in a fast-paced operational environment.

Desirable:

  • Experience within construction, highways, engineering, logistics or other operational sectors.
  • Experience producing HR metrics and management reports.
  • Experience implementing process improvements or HR system enhancements.
