We are looking for a proactive and organised Office/Project Assistant to support the day-to-day operations of our Edinburgh office as well as our UK project portfolio. This role is well suited to someone who enjoys variety, takes pride in keeping things running smoothly, and wants to work close to project teams in a dynamic offshore wind environment. You will play a key role in ensuring that both the office environment and project-related coordination function efficiently. You will be based in Edinburgh and work closely with our Project Directors, the wider project teams and the UK Corporate Operations Manager.

Your Key Responsibilities Will Include:

  • Supporting the smooth day to day running of the Edinburgh office, ensuring it is professional, welcoming and well organised
  • Keeping the office presentable and ensuring office supplies are well stocked
  • Organisation of office social events and supporting global initiatives in the annual events calendar
  • Coordinating mail, deliveries and packages
  • Supporting office moves or layout changes as required
  • Support the onboarding of new colleagues and liaising with IT on equipment
  • Supporting project teams with meeting coordination, both in house and externally (rooms, catering, logistics)
  • Assisting with event coordination (receptions, dinners, industry events and workshops)
  • Supporting travel arrangements and itineraries connected to projects
  • Helping with monitoring shared inboxes and ensuring information is routed appropriately
  • Supporting preparation of presentations, including layout, formatting and visual consistency (agendas, meeting packs, project updates)
  • Supporting documentation flow and helping keep shared information organised and up to date
  • Additional support to the Project Directors including diary management, travel, and managing priorities
  • Maintain Project Calendars, weekly whereabouts and holiday tracker
  • Providing ad hoc administrative support as project and office needs evolve

Your Experience:

  • Have completed high school or hold a bachelor’s degree
  • Possess strong English skills, both written and spoken
  • Are proficient in the use of Microsoft Office packages
  • Are well organised, punctual and flexible, with good attention to detail
  • Enjoy working in a team-based environment, while also being confident working independently
  • Are service-minded and proactive in anticipating needs
  • Thrive in a role with variety and changing priorities
  • Knowledge of Microsoft productivity tools (MS To-Do, Planner and Co-Pilot) beneficial
