The Role
We are looking for a Document Control Manager to support documentation management activities for COP’s Pentland Floating Offshore Wind Project, ideally based in Edinburgh. The Pentland project is an innovative floating offshore wind development located off the coast of Dounreay in Caithness, northern Scotland. Once operational, the project is expected to generate around 100 MW of clean electricity—enough to power approximately 70,000 homes—while contributing to the advancement of floating wind technology in the UK.
In this role, you will support the implementation and maintenance of the project’s Electronic Document Management System (EDMS) and ensure that documentation from internal teams, contractors, and stakeholders is efficiently managed throughout the project lifecycle. Working closely with the project team, you will play a key role in ensuring information is properly controlled, accessible, and aligned with project governance requirements, supporting the successful delivery of a pioneering floating offshore wind project.
Your Key Responsibilities Will Include:
- Supporting the setup, development, and maintenance of the Document Management System for the project.
- Administering users and maintaining document workflows within the Electronic Document Management System (EDMS).
- Managing project documentation including storage, distribution, and archiving of documents.
- Maintaining the project document register and ensuring document metadata is accurately captured.
- Monitoring document review and approval processes and providing regular document status reporting.
- Coordinating document submissions from contractors and ensuring compliance with project documentation requirements.
- Supporting the handover of as-built documentation from contractors and ensuring documentation readiness for operations.
Your Experience:
- Experience working in large-scale infrastructure, construction, or energy projects, ideally within offshore wind, renewables, or major capital projects.
- Experience working with Electronic Document Management Systems (EDMS) such as Omega 365, SharePoint, Aconex, or similar platforms, including managing document workflows, metadata, and document registers.
- Strong knowledge of document control processes, including document numbering, revision control, transmittals, document distribution matrices, and document lifecycle management.
- Excellent organisational and communication skills with a structured, detail-oriented approach, and the ability to coordinate documentation across multiple stakeholders, contractors, and project teams.
- Proficiency in Microsoft Office tools including Excel, Word, PowerPoint, and SharePoint, with the ability to produce document status reports and support project reporting.
