What will you be doing?
We have an exciting opportunity to join our Business Unit training team as a Training Administrator on a permanent basis. This is a busy and varied role where you will provide administrative support to the Operations Training Leader, Training Team Leaders, and Training Team by maintaining the training system in accordance with the Quality Management System and manage the business unit training systems to maintain compliance and continually be audit ready.
Responsibilities:
- Work closely with the 24/7 training team to ensure all training tasks are completed within the required time frame.
- Communicate with the training team across a 24/7 shift pattern.
- General administrative duties (e.g., data entry, filing, and email correspondence).
- Maintaining the UK Training System (e.g., Training and NCR data).
- Support coordination of induction processes and prepares training materials.
- Prepare training material for the 24/7 training team aligning with business training plans.
- Understand and adhere to Training, Health and Safety, and Quality procedures.
- Complete additional tasks when required to enable the effective operation of the training team.
- Collate Compliance training metrics, including category of training, compliance ratings, and NCR rate for human error.
- Manage large amounts of data via MS Excel, identifying trends, guiding continuous improvement, simplifying data, and identifying trends.
- Provide analytical support to the team and create and manage reporting tools to support the business.
- Collaborate with support functions to ensure source data is accurate.
Quality Management System:
- Create and manage DCR (Document Change Request) and DCO (Document Change Order) related document changes.
- Maintaining the Agile Electronic training records system.
- Manage training systems to comply with the Quality Management System.
- Producing employee training reports to ensure the business is audit ready.
Qualifications:
What are we looking for? We would like you to have the following experience:
- Previous administration experience within a training function or data entry administration role is essential.
- Previous experience maintaining Quality Management Systems and training systems is desirable.
- IT Literate with practical experience in using Microsoft applications.
- Expert user of Excel.
- Effective communication skills and the ability to convey information accurately and consistently.
- A team player with the ability to relate to people and form relationships easily.
- Ability to work with minimum supervision and work effectively on your own and within a team.
- Ability to work to tight schedules.
