Job Summary: As Events Coordinator, you’ll report to the Executive Assistant to the President, EMEA and support the coordination of high-level meetings and events for internal stakeholders, external partners & customers, startups, and senior executives, ensuring all events are executed to the highest standard while aligning with brand, budget, and operational requirements.
Essential Functions & Accountabilities:
- Input to and implement an annual calendar of events aligned with The Vision Centre goals and stakeholder needs.
- Plan, manage, and execute a diverse range of events – mainly customer Top to top meetings but also including workshops, tech demonstrations, showcases, executive visits, and partner engagements.
- Plan and deliver events for eye care professionals, including clinical workshops, product training, innovation showcases, and immersive demonstrations for key stakeholders such as distributors and KOLs.
- Manage site–to–site logistics, i.e., collaborate with individual site leaders and/or with respective PAs from Hamble (Manufacturing), Mountpark (Packaging), and Delta Park (Distribution) to organise seamless tours of operations facilities.
- Collaborate with internal teams, senior leaders, partners, and external stakeholders to curate high‑quality event content and experiences.
- Manage all logistics end‑to‑end: venue setup, AV requirements, catering, scheduling, staffing, and attendee flow.
- Input to budgeting, forecasting, vendor management, and procurement to ensure cost-effective event delivery.
- Create and maintain event documentation, timelines, run sheets, and risk assessments.
- Ensure all events follow brand guidelines, guest protocols, and compliance standards.
- Coordinate event promotion and communications in partnership with marketing and communications teams.
- Monitor event performance, collect feedback and analyse outcomes to identify learnings and enhance future events.
- Lead on-site execution with confident coordination, troubleshooting, and stakeholder engagement.
- Build and nurture relationships with partners, suppliers, and industry networks to enhance event quality.
- Identify opportunities to introduce new event formats, technology, and experiences to elevate the centre’s impact.
Experience/Education:
- Proven experience in planning and delivering events for up to 300 attendees such as conferences, workshops, product launches, exhibitions, corporate meetings, or VIP experiences.
- Track record of managing end‑to‑end event cycles, including concept development, logistics, execution, and post‑event evaluation.
- Experience coordinating multiple stakeholders, including internal teams, external partners, suppliers, and senior leaders.
- Vendor and venue management experience, including contract negotiation and performance oversight.
- Hands‑on experience with on‑site event coordination, including team coordination, troubleshooting, and real-time decision-making.
- Experience creating event documentation, such as timelines, run sheets, risk assessments, and operational plans.
- Background in event marketing support, including attendee communications, promotional materials, and registration management.
- Experience working in fast-paced environments where priorities shift and multiple deadlines must be met simultaneously.
- Demonstrated ability to elevate attendee experience, focusing on quality, professionalism, and customer engagement.
Knowledge, Skills and Abilities:
- Excellent event management skills, with the ability to manage multiple complex events simultaneously.
- Clear and confident communication skills — both written and verbal— with the ability to engage clinical, commercial and senior stakeholder groups.
- Commercially aware with an understanding of budgets, contract negotiation, procurement processes, and vendor relationships.
- Strong problem-solving and decision‑making skills, especially in fast-paced, live-event scenarios.
- Confident in managing sensitive or regulated information appropriately while maintaining high compliance and integrity.
- Ability to anticipate operational needs and proactively mitigate risks during event planning and delivery.
- Ability to lead events with composure, authority and customer-centric mindset, creating a welcoming, professional environment for practitioners, partners, and senior executives.
- Ability to adapt quickly to evolving technologies.
- Excellent spoken and written English skills are vital. Other European languages will be beneficial, e.g., French or German.
