Our well-established client is looking for an organised and customer-focused Administration Support Coordinator to join their team in South Molton.

Job Type: Full Time; Temporary to Permanent

Hours: Monday - Friday 8:00am - 5:00pm (1 hour lunch break)

Pay Rate: Β£13.70 per hour

Location: Barnstaple

About the Client: Our client is a specialist renewable energy business providing heat pump solutions and associated installation, maintenance and customer support services. The company works closely with customers, engineers, suppliers and internal teams to deliver reliable and efficient renewable energy solutions.

Key Responsibilities of the Administration Support Coordinator:

  • Providing accurate and timely administrative support to the Customer Services function
  • Handling first-line customer, supplier and engineer communications via telephone and email
  • Maintaining accurate customer records, databases, trackers, files and system updates
  • Supporting engineer scheduling and coordinating with customers, suppliers and internal departments
  • Preparing and tracking service and maintenance quotations
  • Supporting finance with overdue service and maintenance invoice administration and customer follow-up
  • Assisting with ENA, DNO and related design administration where required
  • Tracking outstanding actions, following up on dependencies and escalating delays or issues promptly
  • Preparing, updating and tracking documents and submission records
  • Identifying and escalating missing information, discrepancies, scheduling issues and administrative errors

Requirements of the Administration Support Coordinator candidate:

  • Previous experience in administration, customer service, office support, scheduling or a similar environment preferred
  • Confident and professional telephone manner
  • Strong organisational and coordination skills
  • Good written and verbal communication skills
  • Good working knowledge of Microsoft Office and general business administration systems
  • High level of accuracy and attention to detail
  • Ability to maintain clear and accurate records
  • Reliable time management and the ability to manage multiple priorities
  • Ability and willingness to learn new systems and procedures
  • Professional, reliable and able to work effectively with customers, engineers, suppliers and internal departments
