Cooley LLP is seeking an Administrative Services Manager to join the Office Administration team in London.
Position Summary
The Administrative Services Manager will assist the Regional Director ā Europe & Asia with various aspects of office management, including the direct management of the London office Personal Assistants (PAs).
Position Responsibilities
- Supervisory: In consultation with HR, manage all aspects of PA employment, including hiring, flexible working requests, feedback, mentoring, coaching, attendance coordination, staffing, timekeeper allocation, coverage planning, performance management, and recognition programmes.
- Recruitment: Participate in the recruitment process for PA roles, ensuring requisition procedures are followed, reviewing applications, scheduling interviews, and explaining benefits and Cooley culture to candidates.
- Financial Management: Prepare the annual PA cost budget, monitor against budget, assist in office budgeting, handle credit card administration, and code invoices for finance.
- Admin Management / Office Communications: Provide policy information, recommend policy changes, support emergency planning, participate in crisis management, handle office and firmwide training programmes, gather and report operational data, coordinate new partner onboarding, manage office events, and maintain communication pages.
- Other duties as assigned or required.
Skills & Experience
- After orientation at Cooley LLP, proficiency in Microsoft Office, iManage, and other firm applications.
- Ability to work extended and/or weekend hours, as needed.
- Ability to travel, as required.
- 5+ years' office management experience in a law firm or professional services environment.
- Previous recruiting experience.
- Previous peopleāmanagement experience with a PA population, including performance management.
- Familiarity with basic UK employment law.

- Bachelor's degree.
- Experience with HR software.
