Legal Talent Assistant Cooley is seeking a Legal Talent Assistant to join the Legal Talent team on a 6-month contract.
Position Summary
The Legal Talent Assistant will provide support to the Legal Talent function.
Assisting the Senior Legal Talent Manager and Senior Graduate Recruitment Manager through efficient execution of administrative duties.
Specific duties include, but are not limited to, the following
- Lateral Recruiting Liaise with interviewers, PAs, agencies and candidates to schedule interviews
- Ensure accurate and current data entry in the Law Cruit database, and circulate reminders for feedback
- Assist with data entry of departmental reports to ensure accuracy of office data, and maintain a high level of proficiency in Lawcruit reporting and data entry procedures
- Respond to recruitment queries (from individuals and agencies) for trainee, associate and special counsel positions and maintain records of these
- Draft agency terms documents
- Prepare draft offer letters, reference requests and speculative response letters and emails
- Coordinate with HR on onboarding processes for new recruits, post-offer stage and update relevant stakeholders on candidate progress
- Maintain joiner & leaver checklists, schedule meetings with buddies and liaise with HR on other first day arrangements
- Prepare interview and induction packs
- Ensure the LN Careers/Recruitment page in the firm’s intranet and internet is kept up to date
- Provide support for trainee and lawyer review processes
- Perform other lateral recruitment administration as required
- Trainee Recruitment Assist in organisation of recruitment events to include trainee open days and represent Cooley from time to time
- Assist in the administration of the online application tracking system and support other stages of the recruitment process where necessary
- Assist with all logistics for work experience programmes, such as room bookings, diary management and organising social events
- Assist in organisation of virtual law fairs/events, including setting up Cooley attendees on virtual law fair systems and providing cover for “text chat” during virtual events
- Request payments of law school fees and maintenance and manage law school correspondence and student updates
- Prepare induction programmes for all new joiners, collate packs and set up meetings
- Perform other graduate recruitment administration as required
- Other Duties
- Assisting in the organisation of trainee social events
- Manage diaries for interviews, meetings, workshops and other events
- Book rooms, organise catering and other requirements for events and meetings
- Produce items for in person and virtual events, to include welcome packs, name badges, attendance lists and session materials, to include presentation slides
- Code all standard departmental invoices
- Arrange ad-hoc expense payments for summer programme attendees and future trainees
- Set up and maintain folders on i Manage
- File, scan and archive for the department
- Ensure accurate data entry for compensation memos and compensation research trackers
- Ensure that department files are up to date and Data Protection guidelines are met
- Send reminders for events and appraisals and keep track of completion
- Arrange travel for recruitment and other events
- Take notes at meetings where necessary
- Open all external/internal mail as appropriate
- Collate information for weekly/monthly news updates and post on boards, intranet and newsletter
- Attend training, education and development programs to enhance performance, professional development and advancement
- Perform additional administrative duties as assigned or required
Skills & Experience Required
- Flexibility to work beyond core hours, as required
- Accomplished administrator, ideally working within Legal Talent/HR with direct experience of law firm or professional services environment
- Excellent computer literacy including Word, Excel, Outlook and virtual platforms (e. g. Zoom) essential
- Possess excellent written, oral communication and be able to listen effectively
- Excellent typing, proofreading and data entry/system skills with a high level of accuracy, attention to detail and presentation
- Excellent organisational skills and ability to manage own time effectively
- Educated to A Level or equivalent
- Some national travel required for law fairs and university events
- Proven diary management experience
Preferred
- Educated to bachelor's degree or equivalent
- Ability to work independently and as part of a team in a fast paced environment
- Excellent proofreading and data entry/system skills with a high attention to detail and presentation
- Ability to inspire confidence and function in a professional and polite manner when dealing with co-workers, candidates and external providers
- Ability to deal with confidential situations with tact, diplomacy and discretion
- Reliable, committed and punctual
- Ability to demonstrate sound judgment and common sense at all times
