About the role
As Operations Coordinator at Cool Earth, you will help keep the organisation running smoothly behind the scenes. You will play a key role in day-to-day operations, providing practical support across people processes, IT systems, tools and office management. Working closely with the Head of People, you will be a go-to person for operational questions, helping colleagues access the systems, information and support they need. This is a hands-on role with scope to grow. While the core focus is on providing practical operational and administrative support, we expect the role to evolve over time. As the Operations Coordinator builds confidence and experience, there may be opportunities to take on greater responsibility in areas that play to their strengths or where the organisation sees growing need, supported by the Head of People.
What you’ll do
- People Operations & HR
- Support day-to-day HR administration, including onboarding and offboarding processes
- Administer HR systems (such as CharlieHR), keeping records accurate and up to date
- Manage the HR inbox and respond to routine queries, escalating where needed
- Support recruitment administration, including interview scheduling, preparation of documents and onboarding
- Help track probation and onboarding processes so new starters feel supported
- Support the administration of safeguarding processes, including training records, documentation and secure record-keeping
- IT, Systems & Tools
- Act as internal administrator for core digital tools such as Google Workspace and Slack
- Work alongside our external IT support on user access and troubleshooting
- Coordinate IT set‑up and access for new starters and leavers
- Help manage asset and device records, including laptops and other equipment
- Office, Tools & Suppliers
- Support day-to-day office management and facilities in the UK
- Coordinate tools, subscriptions and suppliers, working closely with the Head of People & Operations and Finance
- Support the organisation of meetings, travel and team events when needed
- General Operations Support
- Act as a first point of contact for everyday operational questions
- Support the upkeep of internal policies, guidance and operational documentation
- Help colleagues find information, systems, policies and processes
- Support the coordination and documentation of incidents, including logging, follow‑up actions and record‑keeping
- Assist with maintaining risk and compliance documentation, escalating issues where required
- Help identify opportunities to improve processes and ways of working
Who you are
It is essential to us that you have/are the following:
- You are organised, reliable and enjoy supporting others to get things done.
- You work well with colleagues across different roles, teams and locations, and communicate clearly and helpfully.
- You have experience in administrative or coordination work, and are comfortable managing tasks, information and follow‑up.
- You are confident using digital tools and are naturally curious about how systems work, picking up new tools quickly.
- You are able to use judgement around when to resolve issues yourself and when to upscale.
- You care about equity, diversity, inclusion and safeguarding, and take these responsibilities seriously in your work.
- You’re fluent in spoken and written English, and highly competent with Google and Microsoft Office tools.
- You have a genuine interest in and commitment to the humanitarian and environmental principles of Cool Earth.

It would be great, but not essential, if you also have:
- Fluent written and spoken Spanish.
- Experience in an operations role.
