The company has well located offices in Holland Park, close to the shops and restaurants in Westfield Shopping centre, and a short walk from the Central line and Overground stations.

The role

Report into and assist our “Office Manager & Executive Assistant to Founder.”

Together with the Office Manager, help them perform the following duties:

Office Management (estimated 70% of time)

  • IT Resourcing – ensuring all personnel have adequate IT equipment (hardware & software) to complete job. Manage subscriptions, maintenance & accounts
  • IT & Electronic Asset Register – help the finance manager create and maintain a complete registers of values and UIDs of all IT assets and media equipment (cameras, drones etc) and sorting out broken or old IT equipment
  • Accounts – review and maintain positive relationships with all office related accounts e.g., cleaner, handyman etc. to ensure cost efficient and timely support to company services
  • Contracts – negotiation and management of all office related contracts to ensure best value for money for the company
  • Cleaning/ Wellbeing – work to ensure office is clean, tidy, and hygienic at all times to create a positive and vibrant working environment. We have cleaners who come in every evening who need to be managed, as well as office tidy up during the day (and ensuring employees clean up after themselves)
  • Stationary/ hardware – ensure office is appropriately resourced with appropriate stationary and material resources for the proper performance of all work
  • Supplies (food, drink etc) – ensure the office retains proper supplies of food and sundry supplies for maintenance of morale and sustenance
  • Health & Safety – ensure the office is compliant with all relevant H&S regulations and appropriate measures e.g. signage is in place
  • Security – ensure measures are in place to ensure the safety and security of the office environment.
  • Inventory control (Branded Marketing Collateral) + Zoho Inventory management
  • Office repairs and maintenance / calling in handyman etc
  • Managing the office budget each month, making sure actual spend is kept under control
  • Keeping the office (and the kit kept in our offsite storeroom) clean and tidy – this can involve sorting, donating and selling unwanted items on eBay etc
  • Assisting with possible future office move to a nearby location (expected to still be west London)

PA to founder Henry Cookson (estimated 30% of time)

  • Booking flights
  • Diary management
  • Other ad-hoc tasks

Preferred Skills

  • At least 2 years’ relevant work experience.
  • Be entrepreneurial, a ‘doer’, and enjoy working within small team environments.
  • Organised and proactive mindset
  • Dependent on experience; expected to be between £25k and £28k per year
  • The role can be done full time (40 hours per week) or part time (e.g. 5 hours per day, or 3 days per week)
  • Opportunity to work with a best of breed company, in a team passionate about organising the most creative holidays on the planet.
  • This role is based in our London offices (W11) and needs to be performed in the office.
  • Annual bonus scheme, and £1,250 to put towards benefits of your choice each year.
  • 23 days holiday, increasing for long term service
  • Good office environment with engaged staff and regular social events
