We are looking for a dedicated individual to help us provide safe, inclusive, accessible and inspirational space in our Company’s office in Newport with occasional support to our Swansea office. The role involves overseeing building maintenance, co-ordinating office services, health and safety compliance, managing supplier services, supporting the IT team and providing day to day support to create a professional and productive workplace for all teams. The ideal candidate will need to be able to balance health and safety compliance, project work along with day-to-day hands-on responsibilities such as replenishing restroom supplies, maintaining kitchen cleanliness and supporting the Senior Management team as required.

Key Responsibilities

  • To facilitate the daily operations of all facilities ensuring that they are safe, clean and fully functional.
  • Implement and oversee workplace safety programmes, such as fire drills, fire alarm testing, emergency lighting, fire extinguisher servicing, first aid training and emergency response plan ensuring compliance with health and safety requirements.
  • Conduct risk assessments and ensure compliance with health, safety and environmental regulations.
  • Act as first contact for emergencies in relation to the building, liaising with Senior Managers as required.
  • Assist with office space planning, workstation setups and seating arrangements, particularly on days where all staff are required in the office and provide support for office events and meeting room setups.
  • Coordinate internal office moves, furniture installations and workstation adjustments including the porterage of furniture and equipment around the office as may be necessary.
  • Manage and organise desk equipment, including moving docking stations under desks and tidying cables across the office.
  • Carry out minor repairs and enhancements such as putting up shelves/hanging pictures, painting and decorating, replacing light bulbs, fixing small leaks.
  • Create a welcoming environment for teams by turning on lights/heating/air conditioning each morning, emptying dishwashers each day and clearing out the fridge every two weeks.

Skills, Knowledge and Expertise

  • 2 years’ experience in facilities management, health and safety, office administration or office cleaning.
  • Strong organisational, multi-tasking and problem-solving skills.
  • Ability to co-ordinate with multiple stakeholders, vendors, senior management and employees.
  • Knowledge of workplace safety and emergency procedures would be desirable.
  • Previous experience with contract management and supplier negotiations would be advantageous.
  • Strong organisational skills with excellent attention to detail and the ability to work independently.
  • Willingness to work outside normal office hours as required to fulfil obligations of the role.
  • Ability to lift and move office furniture and supplies.
  • Due to the nature of the role, it is a requirement of the role that you are local to the Newport area.
