Part-Time Personal Assistant / Executive Assistant

We’re looking for a trusted PA / EA to support the business owner across his businesses and investments, taking ownership of day-to-day administration and coordination. You’ll take ownership of bills, financial paperwork, general administration and project follow-up, making sure commitments are met and the business owner has a clear view of what needs his attention. A finance, accounts or bookkeeping background would be particularly valuable.

What it’s really like here

This is a hands-on role working directly with the business owner. The work will vary: one day you may be coordinating information for the accountant; the next, following up a contractor, resolving an invoice query or organising appointments. You’ll need to be comfortable moving between financial detail and practical administration, with clear priorities and reliable follow-through.

You’ll be trusted to organise your work, ask sensible questions and raise issues early. We value respectful honesty and sound judgement: if a payment looks wrong, a deadline is at risk or a project has stalled, we want you to say so and help move it forward. The role is part-time, so agreeing priorities, maintaining a realistic workload and making effective use of the available hours will matter.

What you’ll be doing as our Personal Assistant / Executive Assistant

  • Keep bills and payments under control - Maintain a clear schedule of invoices, bills and recurring payments. Check the details, obtain approvals and arrange authorised payments on time, flagging anything that needs the business owner’s attention.
  • Keep financial records organised - Maintain receipts, expenses, statements and supporting paperwork so information is accurate and easy to find. Work with the accountant or bookkeeper to resolve queries and provide what they need.
  • Manage business and investment administration - Organise records, correspondence and documents across the business owner’s businesses and investments. Track deadlines agreed with advisers, coordinate signatures and follow up requests so paperwork reaches the right people on time.
  • Keep projects moving - Maintain action lists, chase agreed tasks and stay in touch with advisers, suppliers and contractors. Make progress visible and highlight delays, cost changes and decisions before they become bigger problems.
  • Organise diaries and everyday administration - Arrange meetings and appointments when needed, prepare relevant information, handle agreed correspondence and maintain useful filing systems.
  • Give the business owner a clear view - Provide a concise update on what has been completed, what is coming up and what needs a decision. Take ownership of routine matters and use agreed approval limits when handling payments or commitments.

What we’re looking for

  • Experience as a PA, EA, office manager or in a similarly responsible administrative role.
  • Confidence handling invoices, expenses, payments and financial paperwork.
  • Strong organisation and attention to detail, with a track record of following tasks through.
  • The ability to work independently, prioritise sensibly and know when to seek approval.
  • Professional communication and confidence dealing with accountants, advisers and suppliers.
  • Discretion, reliability and sound judgement when handling confidential information.
  • Good working knowledge of Outlook, Excel and digital filing systems.
  • A finance, accounts or bookkeeping background would be an advantage. Experience supporting multiple businesses or an investment portfolio is helpful but is not essential.

What you’ll get

  • Salary: £50,000–£60,000 full-time equivalent, pro rata for agreed hours, depending on experience
  • Hours: Part-time; weekly hours and working pattern to be agreed
  • Location: Birmingham; office attendance and any home working arrangements to be agreed
  • Benefits: Package to be confirmed for this appointmenr
  • Responsibility: Direct access to the business owner and the opportunity to improve how everyday administration is managed

About the businesses and investments

This role supports the business owner across his businesses and investments. You’ll work directly with the business owner and coordinate with the professional advisers and service providers involved, keeping financial administration, records and projects organised across the portfolio.

Make a practical difference

If you enjoy bringing order to a busy workload, are comfortable with figures and take satisfaction in seeing things through, this is an opportunity to make a practical difference. You’ll help the business owner spend less time chasing administration and more time on the matters that need his attention.

To apply, send your CV and a short note outlining your relevant experience, preferred working hours and availability.
