Convene | etc.venues is seeking to hire a Events Coordinator. This role involves gathering and organising forthcoming event details, delivering outstanding customer service, and offering general administrative support to the venue team, including overseeing food and beverage delivery for live events and suggestive selling to clients with the aim to provide the highest level of client service within budget. This is an ideal opportunity for an events management or hospitality graduate.
What You’ll Do:
Client Service
- Offer informative and personalised greetings to clients and event attendees.
- Maintain a visible presence, assist clients with requests, and support prompt and high-quality food and beverage service.
- Ensure catering areas are clean and tidy, completing necessary cleaning schedules.
- Assist the Conference Services team with back-of-house housekeeping.
- Handle and resolve customer complaints.
- Share customer feedback (comments and compliments) with the venue team.
- Build relationships with trainers and delegates, record preferences, and provide excellent client care.
- Support the Conference Services team in preparing meeting rooms and event spaces to be showround ready.
Event and Office Administration
- Act as the primary point of contact for assigned clients, offering support and guidance for their event planning and gathering details for upcoming bookings.
- Attend weekly operational planning meetings to prepare for the following week and review previous feedback.
- Participate in daily operations meetings to discuss final arrangements for the current and following day.
- Ensure all information is communicated clearly and concisely to the catering and facilities teams.
- Accurately record all event changes for planning and invoicing purposes.
- Assist with coordinating client materials, deliveries, and collections, and serve as an operational contact for incoming telephone calls.
- Compile delegate lists, prepare room and notice board signage, and manage the collection and distribution of feedback forms.
- Contribute to the ordering of consumables, disposables, and equipment in line with business demands.
Management of Staff
- Effectively supervise and lead the food service team daily, conducting one-on-ones and performance reviews, and implementing relevant training and development programmes.
- Participate in the recruitment, induction, and training of the food service and conference services teams.
- Assist in preparing the weekly staff rota based on business needs.
- Ensure high presentation standards are maintained within the event planning and catering department.
- Develop relationships with your operational clients to provide information and sales leads to their account manager.
- Understand all venue services to proactively recommend them to clients, increasing revenue and enhancing their event experience.
- Assist with preparing sales invoices and chasing deposit payments where necessary.
