To provide every-day support to the Senior Operations Coordinator and Senior Commercial Coordinator, contributing to the smooth running of the Confidential Crisis Response department. As part of the business operations function of Response, the purpose of this role is to:
- Reduce the administrative burden on consultants when they are with our clients
- Coordinate the full project lifecycle to ensure we turn revenue into cash as quickly and efficiently as possible.
What You’ll Do
- Response Case Records
- Providing administrative support as necessary to Response Management on operational matters including:
- Maintaining the case log, case files and templates
- Maintaining and upgrading administration filing systems
- Maintaining the case records and archives
- Administration and Operational Support
- Providing administrative support as necessary to Response Management and Response Consultants including:
- Co-ordinating diaries and arranging meetings
- Ensuring the Duty Officer Rotas are correctly inputted on the Shifts app
- Assisting the Senior Operations Coordinator with client or internal meetings/events
- Maintaining a record of all Response IT and communication equipment, arranging replacement equipment when required
- Liaising with IT personnel to assist in the resolution of IT issues
- Fielding consultant enquiries and providing support to them as appropriate
- Administering Response office requirements including communications, photocopying, shredding and arranging couriers where necessary
- Processing of any incoming and outgoing post
- Maintaining client and employee contact details
- Providing cover for the Senior Operations Coordinator when absent, to include:
- Organising and booking consultant travel and management of the travel process including arranging accommodation, passports and visas
- Monitoring and arranging visa renewals
- Maintaining consultant availability chart and contact list, and other operationally critical documentation and trackers
- Commercial Support
- Providing cover for the Senior Commercial Coordinator, to include:
- Creation of client projects within the required applications
- Creation of sales leads for the wider business
- Maintenance of client projects through the full project lifecycle
- General communication, coordination and administration of projects.
Who You Are:
- Educated to A Level Standard, or relevant experience
- IT Literacy – Microsoft Office packages, including intermediate/advanced Word and Excel skills
- Excellent written and oral communication skills
- High level of accuracy, attention to detail and numeracy
- Ability to prioritise work effectively and multi-task
