Job Role
The Install and DeliveryCo-ordinator role is the operational engine behind our project execution and is responsible for the effective day-to-day co-ordination of projects, delivery and schedules. This role will bridge the transition from signed quote to final site handover, while owning the critical ‘behind-the-scenes’ administration - converting quotes into technical handover documentation, scheduling engineering resources, and managing logistics so project milestones are achieved on time, within budget, and to standard. This role can be fast-paced and will require you to proactively manage priorities, while a key focus will be ensuring that engineers are used in the most efficient way, whilst also allowing suitable cover for small works and service attendance.
Job Description
Key responsibilities of the role include the following. While the exact responsibilities may vary, the main duties can be summarised as follows:
1. Technical Documentation and Workflow Management
Process won sales quotes into new jobs within the CRM
Create and distribute technical forms and documentation, including job packs for the engineering team
- Review project documentation for completeness, ensuring all specifications, requirements and compliance metrics are accurately captured
- Maintain accurate and up-to-date project records within the company system (CASH4Windows)
2. Resource Scheduling and Engineering Support
- Co-ordinate engineer’s weekly rotas in line with project delivery requirements and service/small works needs
- Ensure site schedules and requirements are met and delivered in line with ‘as sold’ deliverables
- Manage customer expectations for engineer/install dates
- Serve as the primary point of contact for communication between office operations and field engineers
3. Logistics & Procurement
Ensure jobs are correctly populated with correct equipment
Communicate with procurement to ensure all kit is ordered and delivered on time, ensuring the relevant people have up-to-date timescales and deadlines
4. Operational Support
- Work directly with the Ops Director to identify project delivery risk and streamline workflow processes
- Track Operational KPI’s related to installations, document accuracy and project delivery
- Manage post-install administration, including document sign off and handover documentation ready for billing
- Updating the company’s database with the current status of install jobs
- Liaising with the IT Helpdesk to ensure calls are dealt with and attended as appropriate
Desired skills, qualifications and experience:
- 2+ years of administrative or coordination experience within engineering, technical services, construction, or operations-heavy sectors.
- Project management experience considered an advantage
- Proven ability to read, interpret, and convert technical scopes or commercial quotes into structured operational documentation.
- Strong skills in Microsoft Office, project management software, and using CRM platforms.
- Clear, confident interpersonal skills to liaise effectively between senior management, technical engineers, and external clients.
- Exceptional attention to detail with a knack for managing multiple concurrent project schedules without dropping the ball.
