Our client is a leading civil engineering contractor currently delivering works under the Heathrow Civils Maintenance Framework. The framework provides essential maintenance, repair, and improvement services across Heathrow Airport's civil infrastructure, supporting the safe and efficient operation of one of the world's busiest airports. As a Costing Assistant (Maternity Cover), you will play a key role in supporting the commercial and operational teams by ensuring that project costs are accurately recorded, allocated, and maintained. Working closely with Site Managers, Project Managers, Quantity Surveyors, and finance teams, you will contribute to effective cost control and the timely reporting of project expenditure across a varied portfolio of maintenance and infrastructure works.
Key Responsibilities
- Cost Management & Allocation
- Maintain accurate and up-to-date project cost records across all active sites.
- Chase, receive, and process allocation sheets from Site and Project Managers.
- Allocate vehicle, plant, labour, material, and subcontractor costs to the correct project numbers within company systems.
- Ensure all costs are accurately recorded and accumulated against relevant projects.
- Documentation & Data Processing
- Receive and process delivery notes from site teams.
- Manage and control the receipt of tickets and supporting documentation, ensuring they are correctly matched to purchase orders and project references.
- Input and maintain cost information within the Costing Software System (CPA) and Oracle.
- Prepare weekly time cards for weekly-paid employees in accordance with payroll deadlines.
- Record Keeping & Compliance
- Ensure all project-related documentation, including allocation sheets, delivery notes, and supporting records, is uploaded and stored accurately within SharePoint.
- Maintain organised and auditable records in line with company procedures.
- Communication & Support
- Liaise effectively with Quantity Surveyors, Site Managers, Project Managers, and operational teams regarding cost allocation and project cost queries.
- Resolve discrepancies and investigate any cost-related issues promptly.
- Support the wider commercial team with administrative and costing activities as required.
Skills & Experience
Essential
- Previous experience in an administrative, costing, finance, or commercial support role.
- Strong attention to detail and accuracy when processing data.
- Good organisational and time management skills.
- Ability to manage multiple tasks and meet deadlines.
- Proficient in Microsoft Office, particularly Excel.
- Strong communication skills and the ability to build effective working relationships with site and office-based teams.
