Facilities Assistant (Part-Time)

18 hours per week (Monday, Tuesday & Thursday, 10:00am - 5:00pm) Contract:

We are looking for a proactive and organised Facilities Assistant to join a busy Facilities Management team on a temporary basis.

This is a varied, customer-facing role where you will help ensure the office environment is safe, clean, well-maintained and welcoming for colleagues and visitors.

The Role

Key responsibilities will include

  • Acting as the first point of contact for colleagues, visitors and contractors.
  • Carrying out reception and switchboard duties.
  • Ensuring meeting rooms are prepared, stocked and ready for use.
  • Managing incoming and outgoing post and arranging couriers.
  • Conducting regular site checks to maintain high standards across the office.
  • Reporting and coordinating maintenance issues with relevant stakeholders.
  • Issuing security passes and keys in line with site procedures.
  • Supporting health and safety activities, including routine safety checks and incident reporting.
  • Assisting with purchase orders and monitoring contractor performance.
  • Providing excellent customer service and responding promptly to requests.

About You

To be successful in this role, you will have

  • Previous experience in a facilities, administration or customer service environment.
  • Strong communication and interpersonal skills.
  • Good IT skills, including Microsoft Word and Excel.
  • Excellent organisational skills and the ability to prioritise workloads.
  • A positive, flexible and proactive approach to work.
  • The ability to work effectively both independently and as part of a team.

Desirable

Experience or willingness to undertake training in areas such as

  • First Aid
  • Fire Warden duties
  • Health & Safety
  • Contractor Management
  • Risk Assessments
