About the role
The principle aim of the Edinburgh Lettings Team is to ensure an exceptional customer experience is provided to all clients. As the point of contact for your tenants and landlords, you’ll be required to build quality, lasting client relationships by working closely with the colleagues in your team, supporting Rettie in achieving a market leading position.

As Portfolio Manager, you will be responsible for all aspects of the lettings management process across your portfolio of properties from finding tenants to arranging day to day maintenance. Together with your team, you will ensure our processes are continually reviewed to deliver the best possible client experience which will maximise the fee income of our landlords’ assets.

About you
Ideally, we are looking for an ARLA (or equivalent) qualified Portfolio Manager with at least two years’ experience in the Lettings industry. You will hold a full UK driving licence.

Key responsibilities

  • Driving Portfolio Performance – To constantly improve the performance of the assets within your portfolio, retaining clients and promoting portfolio growth.
  • Ensuring 100% compliance with regulatory standards
  • Negotiating rent increases in line with lease terms
  • Promoting investment and upgrading works
  • Managing day to day maintenance and raising work orders
  • Effective end to end management throughout the duration of the tenancy
  • Managing Administration – Full responsibility and accountability for all aspects of the lettings and management process across your portfolio including:
  • Detailed client information collection and due diligence including money laundering verification
  • Detailed and objective client reporting following regular property inspections
  • Efficient and detailed processing of any maintenance requests and contractor invoices
  • Effective administration of all checkouts, deposit deductions/releases, tenant swaps, early exits and ownership changes
  • Effective handling of utility notifications and the accurate processing of void period costs
  • Excelling in Client Care – To provide the highest standard of client care and satisfaction
  • Promptly establish contact and develop an understanding of all new clients and their assets to facilitate an efficient handover from the Branch Manager/New Business Portfolio Manager.
  • Exceed the expectations of your clients in terms of both customer service and asset performance.
  • Uphold the highest levels of integrity by being objective, open and honest in all of our dealings while always respecting the confidentiality of our clients.
  • Be proactive in your approach to resolving issues and ensure they are dealt with quickly and effectively.
