Are you organised, customer-focused and passionate about hospitality and events? We’re looking for a Hospitality & Events Coordinator to join our team in Oxford. This is a fantastic opportunity for someone who enjoys working in a fast-paced environment, delivering excellent customer service and keeping events running smoothly from enquiry through to completion. You’ll be a key point of contact for our hospitality clients, supporting the wider Hospitality Team and helping to coordinate a busy programme of events across the site.
What you’ll be doing
- Managing hospitality enquiries, coordinating bookings and providing outstanding service to our clients.
- Acting as the first point of contact for hospitality enquiries.
- Managing incoming sales and hospitality enquiry calls and emails.
- Processing hospitality bookings, including financial administration.
- Maintaining excellent client relationships and providing account support.
- Preparing weekly function sheets and keeping event information up to date.
- Updating event calendars, hospitality pipelines and booking systems.
- Ensuring confirmed events are added to relevant systems.
- Monitoring event consumptions and ensuring information is updated within 24 hours.
- Working closely with Dispatch and Hospitality Supervisors to ensure deliveries and customer requirements are met.
- Preparing quotations.
- Supporting creative pitches, proposals and event designs.
- Managing hospitality social media activity, including Instagram and Twitter.
- Completing labour and hospitality stock administration.
- Monitoring uniform, stock levels and purchasing requirements.
- Maintaining accurate records, filing and general departmental administration.

- Previous experience in hospitality, events, administration, customer service or a similar environment would be an advantage.
