Job Responsibilities:
- Check and submit monthly invoices (low volume) to Finance and ensure they are paid timely.
- Handle and run external errands, including procurement and other logistical tasks, on an as-needed basis (approximately 1-2 times per month).
- Plan and coordinate team-building activities for 30 team members once every 2 or 3 months.
- Monitor office supplies inventory, including purchasing and replenishing essential items such as office equipment, stationery, and pantry supplies when they are low.
- Liaise with external vendors for service deliveries, including aircon, courier (low volume), and monthly office's water supply.
- Maintain and update petty cash records using Excel, ensuring accuracy and proper documentation.
- Arrange courier and postage services (e.g., FedEx, SF Express) as required, typically 1-2 times every few months (low transaction).
- Update and manage the company assets (laptops etc.), including allocations to new employees and retrieval of assets from resignees.
- Reformat and prepare laptops and computers for new or departing employees to ensure security and proper functioning.
- Purchase and distribute employee birthday vouchers during employees’ birth month (low transaction).
- Open mailboxes and scan mails.
Job Requirements:
- Possess a Diploma qualification.
- Able to speak and write Chinese (hanyu pinyin) to liaise with Finance colleagues in China.
- Patient, meticulous, possess a great attitude, willing to learn, and have a keen eye for details and initiative to check and prepare documents/paperwork using Excel (must have basic Excel knowledge such as vlookup, sumif functions).
Work Location: near Labrador Park MRT (mTower). Mon to Fri, 9:30am to 6:30pm.
