An office administrator is needed as an essential part of the business going forward. The Office Administrator will play a key role in ensuring the smooth day-to-day running of the office, providing administrative support across the business and helping to maintain an efficient and organised working environment. In addition to core office administration responsibilities, the role will provide support for a range of HR activities, including onboarding, employee records management, recruitment coordination and staff wellbeing initiatives. This is an excellent opportunity for an organised and proactive individual looking to develop experience across both office management and human resources. Flexible, up to 12 hours per week, ideally three half-days or equivalent hours spread across the week, though we are open to discussing other arrangements.

This includes, but is not limited to, developing holistic ESG strategies, delivering workshops and professional seminars, creating sustainability toolkits, and corporate sustainability reporting.

Con-Serve™ is certified as ISO 50001 compliant and allows for a correlation of consumption to other metrics such as hotel occupancy, restaurant’s food covers or outside temperatures.

Responsibilities

  • Support preparation of the agenda and materials for quarterly Townhall meetings.
  • Coordinate diaries and set reminders for quarterly team meetings, training sessions, Senior Team meetings, lunch-and-learn sessions, and similar events.
  • Coordinate the quarterly team appraisal process and integrate the results into the company annual operating plans.
  • Coordinate the quarterly team awards.
  • Promote a positive workplace culture through engagement initiatives.
  • Maintain records for holidays, office attendance, and lunch-and-learn sessions on Monday.com.
  • Coordinate and curate the annual Away Day at a London venue, including slides, prizes, and activities.
  • Arrange the Christmas drinks party.
  • Maintain and update HR policies and procedures in line with legislative changes, reviewed annually.
  • Coordinate compliance with employment laws and regulations annually, with Director support (for example, DSE checks).
  • Maintain accurate employee records and manage HR documentation.
  • Oversee payroll coordination and benefits administration in liaison with the accountants.
  • Oversee the end-to-end recruitment process with Director support.
  • Manage new hire onboarding to ensure a smooth transition into the company.
  • Support the accounting function as needed.
  • Support the business development function as needed.
  • Support the team's overseas travel arrangements.

Requirements

  • Strong interpersonal communication and presentation skills, with a genuine enjoyment of working with people.
  • Excellent organisational and numerical skills.
  • Strong knowledge of PowerPoint and Excel.
  • Proven experience as an administrator or in a similar role, ideally within an SME or consultancy.
  • Familiarity with HR, accounting, and holiday-tracking platforms used by SMEs.
  • Basic knowledge of employment law and best practice.
  • Hands-on execution skills, with the ability to deliver strategic support.
  • Comfortable working independently as well as collaboratively; while you'll work closely with the Directors and wider team, this role functions as an integrated yet largely self-directed position.
