Overview
In this role you will ensure the smooth operation of the Leeds studio while supporting remote colleagues, HR administration, and critical accreditations. You will work directly with the CEO to manage priorities, own recurring tasks, and maintain effective office and compliance processes across multiple sites. The position combines everyday office duties with confidential HR tasks and accreditation submissions, requiring reliability and proactive ownership. This role offers autonomy within a close-knit, trusted practice and contributes to maintaining essential certifications that underpin client relationships.

Responsibilities
- Office management of the Leeds studio and front-line contact for visitors, calls and deliveries
- Manage stationery, kitchen provisions, office supplies, equipment and shared areas
- Coordinate maintenance, PAT testing, and external suppliers; monitor workstations and displays
- Arrange staff travel (trains, hotels) and organise company meetings and events
- Raising and maintaining purchase orders; processing invoices and assisting bookkeeper with weekly summaries
- Administer staff expenses, petty cash, and annual insurance renewals
- Maintain confidential personnel records; support recruitment and onboarding; right-to-work checks and visa monitoring
- Maintain HR-related records (membership, qualifications, timesheets, attendance) and support confidential staff matters
- Support day-to-day health and safety, file incident records, organise safety meetings, manage training and certifications
- Manage accreditations and compliance portals, renewals, deadlines, and audit responses
- Ensure policies, certificates and supporting documents are uploaded and up-to-date
- Support external assessments, audits, and accreditation renewals
- Maintain Constructionline Gold status and other key certifications as required
Key requirements
- Previous experience in office management, business administration, compliance coordination or similar
- Strong organisational skills and ability to manage multiple processes and deadlines
- Autonomous, self-motivated with a responsible approach
- Good judgement on what can be handled independently
- Methodical records and document management
- Strong written and verbal communication
- Proficiency in Outlook, Word and Excel
