With 21 years of experience delivering institutional real estate across three core sectors—Residential, Retail and Hotels—the firm is strategically positioned to capitalise on opportunities in both markets. Due to our exponential growth, we are seeking a passionate and capable Systems Administrator to join our team!
Responsibilities
- Software Administration & Configuration
- Administer and configure core business platforms including NetSuite, Plexa, Precoro, HiBob, SharePoint, HubSpot, and MRI.
- Manage user onboarding and offboarding across all systems, including access provisioning, role assignment, and licence management.
- Own system configuration changes in coordination with vendors and internal stakeholders.
- Maintain documentation of all system configurations, integrations, and standard operating procedures.
- Day-to-Day Support & Troubleshooting
- Serve as the first point of contact for digital systems issues across the business.
- Triage, resolve, or escalate system issues in a timely manner, working directly with software vendors where required.
- Monitor system health and proactively identify recurring issues or configuration gaps.
- Maintain a log of support requests to identify patterns and drive systemic improvements.
- Stakeholder Engagement & Feedback
- Capture and synthesise stakeholder feedback on new system rollouts and existing platform usability.
- Translate user pain points into actionable improvement requests for the digital team or vendors.
- Coordinate user acceptance testing for new features, updates, or system changes.
- Licensing, Cost Tracking & Governance
- Track software licensing across all platforms, ensuring accurate seat counts and cost visibility.
- Maintain a software register with renewal dates, contract terms, and spend by platform.
- Enforce data governance standards across all systems, including naming conventions, access controls, and data integrity checks.
- Support audit and compliance requirements by maintaining accurate system records.
- Business Process Documentation
- Document business processes across departments, operating as a business analyst function for the digital team.
- Map current-state workflows and identify opportunities for standardisation and automation.
- Create and maintain process documentation, user guides, and training materials for all core systems.
- Build and maintain a Digital Transformation issues and ideas portal (SharePoint-based) for the wider business to submit feedback, requests, and improvement ideas.
- Champion efficient use of Microsoft 365 across the organisation, including Teams, Planner, SharePoint, Power Automate and Copilot.
- Identify and implement quick-win automations using the Microsoft platform to reduce manual overhead.
- Support Power BI dashboard maintenance and troubleshooting where required.
Qualifications and Experience
- 2+ years of experience in a systems administration, business systems support, or IT operations role.
- Demonstrated ability to administer and configure SaaS platforms (ERP, CRM, HRIS, or similar).
- Comfortable working directly with software vendors on configuration, issue resolution, and feature requests.
- Strong documentation skills – able to produce clear process maps, user guides, and system configuration records.
- Excellent communication skills with the ability to translate technical concepts for non-technical stakeholders.
- Proactive, self-directed, and comfortable owning responsibilities independently in a fast-paced environment.
- A champion of digital change - someone who naturally promotes the ambitions of the digital team, builds confidence in new ways of working, and brings positive energy to driving adoption across the business.
- Proficiency with Microsoft 365 (SharePoint, Teams, Planner) and a genuine interest in driving adoption and efficiency.
- Experience with any of: NetSuite, Plexa, Precoro, HiBob, MRI, or HubSpot.
- Experience with Power BI dashboard development, maintenance, or troubleshooting.
- Familiarity with Power Automate or similar workflow automation tools.
- Exposure to data governance frameworks, naming standards, or data quality assurance.
- Experience in property development, construction, or real estate operations.
- Understanding of business analysis techniques (process mapping, requirements gathering, stakeholder workshops).
