Role Overview
Are you an organized, resilient administrative professional looking to make a difference in children's services?
The London Borough of Hackney is seeking a proactive Service Co-ordinator to deliver high-quality, confidential administrative support to the Integrated Commissioning Service.
You will act as the key point of contact for the service, keeping operations running smoothly, managing complex management diaries, assisting with care/support package commissioning, and helping manage essential data and financial processes.
Key Responsibilities
- Service Gateway: Act as the first point of contact for the service area, filtering incoming communications, responding promptly, and resolving issues confidentially.
- Management & Diary Support: Maintain complex electronic diaries for the management team, brief managers ahead of key engagements, and coordinate whole-service and team meetings.
- Commissioning Support: Occasionally commission care, support, and education packages during high-demand periods or to cover team leave/sickness using the STAR practice model.
- Meeting & Minute Coordination: Prepare agendas, collate/distribute meeting papers, take accurate, complex, and confidential minutes, and track post-meeting actions.
- Contract & Financial Support: Coordinate contract management activities, annual fee negotiation processes, and support effective financial management systems across the service.
- Data & Document Systems: Ensure accurate data entry into case management systems and maintain efficient electronic filing systems via Hackney's Document Management system (CDM).
- Key Requirements & Experience
- Administrative Background: Proven experience delivering administrative support and managing office systems, ideally within a local authority or public sector environment.
- Senior Support Experience: Experience directly supporting senior management teams, taking complex minutes, and handling confidential/sensitive information with discretion.
- Communication & IT Skills: Excellent written and verbal communication skills with proficiency in producing reports, letters, and presentation materials (Excel, Power Point, Word).
- Organization & Multitasking: Ability to prioritize demanding tasks, meet strict deadlines, track action items, and solve problems using initiative.
