About the Role
We are looking for a Transport Administrator to join the busy operational team within Dorset Travel. This is a front-line service role where you will work collaboratively with colleagues across Dorset Travel, as well as external partners, to help coordinate and commission transport for a large number of young people and adults across Dorset. The role is varied and fast-paced, requiring excellent communication, organisation and attention to detail. You will be responsible for responding to enquiries, maintaining accurate records, supporting transport arrangements and working with a range of internal and external stakeholders.
Key Responsibilities
- Responding to telephone calls and emails from parents, contractors, schools, Passenger Assistants and other stakeholders.
- Liaising effectively with internal teams and external organisations.
- Using Microsoft Teams, Microsoft Office and internal software systems.
- Completing accurate data entry and maintaining records.
- Processing and accessing new applications.
- Carrying out route evaluations using mapping software to assess transport suitability.
- Handling initial complaints and escalating more complex matters to a senior member of the team where appropriate.
- Organising route cover for Passenger Assistants.
- Supporting the wider team with day-to-day transport administration.
- Working collaboratively with colleagues while also using your own initiative to resolve issues and manage your workload.
Working Pattern & Hybrid Working
This is a hybrid role, offering a balance of office-based and remote working once the successful candidate has completed their training. Please note the following expectations:
- You will undertake a minimum of four weeks' training and buddying with multiple members of the team. This may be extended depending on your progress and confidence in the role. During the initial training period, the role will be fully office-based. Once you are sufficiently trained and able to work independently, the role will move to a hybrid arrangement of approximately three days office-based and two days working remotely per week. During particularly busy periods, there may be a service requirement for the team to work fully office-based, with this typically occurring over the summer in preparation for September.
Working Hours
Successful candidates will be required to work on a rota, covering shifts between 7:00am and 5:20pm.
- Monday to Thursday: 7:00am - 3:30pm, 8:00am - 4:20pm, 8:40am - 5:20pm
- Friday: 7:00am - 3:00pm, 8:00am - 4:00pm, 8:40am - 5:00pm
Skills & Experience
The successful candidate will ideally have:
- A BTEC National Certificate, NVQ Level 3 or equivalent qualification.
- Previous office or administrative experience.
- Experience working with data and using IT systems effectively.
- The ability to follow relevant procedures, standards and health and safety requirements.
- Excellent written and verbal communication skills.
- Strong organisational skills and the ability to manage competing deadlines.
- Good problem-solving skills and the ability to use initiative.
- Strong attention to detail and numerical ability.
