We are seeking a dedicated and organised Administration Assistant and Receptionist to join our busy school office team. In this varied role, you will provide high-quality administrative support while managing the school’s reception area. You will play a key part in supporting staff and students by ensuring that all visitors have a great first impression of the school, maintaining records, and contributing to the smooth day-to-day running of the school.

Key Responsibilities:

  • Act as first point of contact for all visitors, parents, deliveries and contractors, providing a professional meeting and greeting and ensuring safeguarding procedures are followed.
  • Deal professionally, promptly and efficiently with incoming telephone calls, directing callers, taking messages and screening calls where necessary.
  • Use tact and diplomacy when dealing with complex reception/visitor matters in difficult circumstances.
  • Ensure the smooth running and organisation of the reception area, keeping the desk, outer area and small meeting room neat while maintaining information security and confidentiality.
  • Accurately record messages and incidents, ensuring they are conveyed to the correct person promptly.
  • Take messages for staff, communicate them effectively, monitor the reception info email box and execute requests.
  • Use the fire alarm (Tannoy) in a clear and concise manner during emergencies.
  • Open and distribute incoming mail, top up the franking machine and ensure all outgoing mail has the correct postage ready for collection each day by Royal Mail.
  • Deal with local incoming/outgoing mail and deliveries, ensuring large items are removed from the reception area by the site team promptly.
  • Maintain and print off fire registers daily and attach them to clipboards for fire drills.
  • Register students who are late in the morning after 8:45 am.
