Position Overview

We are seeking a highly organised, proactive, and professional individual to join our team as a Personal Assistant / Office Manager. This position plays a pivotal role in supporting the Director while ensuring the smooth day-to-day operation of the office. The successful candidate will be detail-oriented, resourceful, and capable of managing multiple priorities within a fast-paced environment.

This is an excellent opportunity for an experienced PA or Office Manager looking for a varied role that combines executive support, office management, and administrative coordination.

Key Responsibilities

1. Executive Support & Diary Management

  • Manage the Director's diary, scheduling appointments, meetings, and events.
  • Coordinate and prioritise meetings, ensuring all relevant documentation and information are prepared in advance.
  • Proactively remind the Director of upcoming commitments, deadlines, and key priorities.
  • Act as a gatekeeper, managing requests and ensuring efficient use of the Director's time.

2. Communication & Correspondence

  • Manage emails, telephone calls, and correspondence on behalf of the Director.
  • Draft, proofread, and prepare business correspondence, reports, presentations, and meeting documents.
  • Maintain professional communication with clients, suppliers, and stakeholders.
  • Handle confidential and sensitive information with a high level of discretion.

3. Office Management

  • Oversee the smooth running of the office environment.
  • Manage office supplies, equipment, and relationships with external suppliers.
  • Coordinate maintenance requirements and ensure facilities are well maintained.
  • Assist with the implementation and improvement of office processes and procedures.
