Office Administrator
About the Role
We are seeking an experienced and proactive Office Administrator to support the day-to-day operations of a busy and professional office environment. The successful candidate will play a key role in ensuring administrative processes run efficiently while providing excellent support to colleagues, clients, and external stakeholders.
The ideal candidate will be highly organised, able to manage multiple priorities, and capable of working independently while meeting deadlines in a fast-paced environment.
Working Hours
- 37.5 hours per week
- Monday to Friday
- 9:00am to 5:00pm
Key Responsibilities
Responsibilities will include, but are not limited to:
- Greeting visitors and maintaining reception and meeting room areas.
- Managing shared email inboxes and responding to enquiries.
- Operating and managing the main switchboard.
- Opening, maintaining, and updating client and company files.
- Processing incoming and outgoing correspondence, including emails and letters.
- Maintaining both electronic and physical filing systems.
- Updating internal databases and record management systems.
- Preparing standard documentation, reports, and business correspondence.
- Responding to client and stakeholder enquiries via telephone and email.
- Recording and updating information accurately within company systems.
- Monitoring deadlines and ensuring documentation is prepared and submitted on time.
- Scanning, copying, uploading, and filing documents.
- Arranging meetings, preparing agendas, and coordinating meeting logistics.
- Taking minutes and providing administrative support during meetings as required.
- Handling confidential information in accordance with company procedures.
- Assisting with invoice processing, payment administration, and general finance support.
- Liaising with clients, suppliers, professional advisers, and other external contacts.
- Supporting management with administrative tasks and meeting preparation.
- Producing reports and maintaining accurate records.
- Managing and resolving administrative queries.
- Data entry and preparation of Excel reports.
- Accurately recording work activities and maintaining administrative logs where required.
Skills & Experience
The successful candidate will demonstrate:
- Previous administration experience within a busy office environment.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- GCSE (or equivalent) Grade C/Level 4 or above in English and Maths.
