A confidential organisation operating within the telecommunications infrastructure sector is seeking an experienced Executive Assistant to provide high-level administrative, organisational, and coordination support to senior executives. This role plays a critical part in ensuring the effective day-to-day functioning of executive leadership and in supporting board and leadership activities across multiple geographies. The role is based in London and requires close interaction with senior stakeholders, both locally and internationally. There will be expected travel to Dubai.
Key Responsibilities
- Providing comprehensive administrative support to senior executives based in London and overseas.
- Managing complex and dynamic diaries across multiple time zones.
- Coordinating extensive travel arrangements, including visas, flights, accommodation, and preparation of travel documentation.
- Organising in-person and virtual meetings, including room bookings, logistics, and technology setup.
- Managing executive expenses and corporate card submissions using an expense management system.
- Preparing, formatting, and reviewing presentations and executive-level documentation.
- Coordinating executive and management meetings, including agenda preparation, minute-taking, and tracking actions.
- Managing online meetings and supporting breakout sessions where required.
- Acting as a central coordination point for executive administration activities.
- Providing coordination and oversight support to other Executive Assistants, ensuring alignment with executive priorities and ways of working.
- Leading the planning and delivery of internal and external events, including board meetings, leadership off-sites, and corporate events.
- Managing end-to-end event logistics, including venues, travel, catering, materials, and on-site coordination.
- Liaising with internal stakeholders and external suppliers to ensure timely and high-quality delivery.
- Managing event budgets, timelines, and approvals to ensure delivery within the agreed scope.
Requirements for the Role
- Degree-level education or equivalent professional experience.
- A minimum of three years’ experience in an Executive Assistant or similar senior administrative role.
- Experience supporting senior executives within a large or complex organisation.
- Strong experience in diary management, travel coordination, office administration, and Microsoft Office applications.
- Excellent organisational skills with strong attention to detail and the ability to manage competing priorities.
- Strong written and verbal communication skills.
- A proactive, discreet, and solutions-focused approach.
- Willingness to travel occasionally as required.
