Company Overview: At Conference Care, we are more than just a Venue Finder - we are an innovative Events Agency dedicated to creating memorable experiences for a diverse range of clients. Our services span events management, venue sourcing, digital solutions, and sustainability consultancy. Proudly achieving B Corp status in 2024, we uphold the highest standards of social and environmental responsibility.
Job Overview: We are seeking an energetic and detail-oriented Events Consultant to join our dynamic Venue Finding team. In this role, you will be at the centre of sourcing, negotiating and securing the right venues and accommodation solutions for our clients’ meetings and events. You’ll manage enquiries from brief through to confirmation, ensuring a seamless experience while balancing client expectations with strong commercial outcomes. This is a fast-paced, client-facing role where your organisation, communication and attention to detail will make a real impact. You’ll work closely with clients, venues and internal teams to deliver efficient, high-quality solutions, while building long-term relationships and maximising opportunities for both our clients and the business.
What you’ll be doing:
- Managing a high volume of MICE and accommodation enquiries, both new business and contractual, from initial brief to confirmation.
- Understanding each client’s objectives and delivering tailored venue solutions that meet their needs.
- Acting as a true extension of your clients’ teams - anticipating their needs, thinking ahead, and providing information before it’s asked for.
- Negotiating rates and terms with venues to maximise profitability and client value.
- Taking ownership of the full booking journey, including reviewing and handling contracts on behalf of clients with a high level of accuracy and care.
- Working closely with the Finance/Accounts team to support the payment process, including gathering and managing supplier invoices where negotiated payment terms cannot be agreed, ensuring timely and accurate client billing.
- Working to agreed SLAs and KPIs, including conversion, commission and service delivery targets, with a clear focus on results.
- Identifying opportunities to upsell Conference Care services and trusted third-party suppliers.
- Thinking creatively and proactively to overcome challenges, secure space and deliver the best possible outcomes for clients.
- Proactively flagging risks to client relationships or enquiry conversion and working with management to resolve them.
- Maintaining clear, professional and timely communication with clients, suppliers and internal teams.
- Collaborating closely with Sales, Event Management and other departments to ensure a joined-up client experience.
- Contributing ideas to improve efficiency, service delivery and team performance.
What we’re looking for:
- Experience in venue finding, events, hospitality or a similar client-facing role.
- A highly results-driven mindset, with a strong focus on achieving targets and delivering commercial outcomes.
- Exceptional attention to detail and a high level of accountability, particularly when managing contracts, financial processes and supplier invoicing.
- Someone with drive and ownership, who takes pride in delivering high-quality work and seeing things through to completion.
- A proactive, forward-thinking approach - able to anticipate client needs and stay one step ahead.
- Creativity and the ability to think outside the box to find solutions and add value for clients.
- Excellent communication skills, both written and verbal.
- Strong organisational skills and the ability to manage multiple enquiries at pace.
- Confidence using systems and technology to manage enquiries and bookings.
- A collaborative team player who supports colleagues and contributes positively to team culture.
