Condy Lofthouse Architects are seeking an engaging, proactive and highly organised Office Manager / PA to the Directors to become a central presence within our studio. This role is ideal for someone who enjoys working with people, brings warmth and confidence to a professional environment, and thrives in a fast-paced, design-led setting. You will play a key part in shaping the day-to-day experience of the practice while supporting the Directors at a senior level.

The Role

  • As the organisational and social heartbeat of the studio, you will ensure the practice runs smoothly while building strong relationships across the team and with external partners.
  • Studio & Office Leadership
    • Acting as a welcoming and confident point of contact
    • Coordinating diaries, meetings and studio activity
    • Creating an organised, positive and efficient working environment
    • Managing suppliers, budgets and service contracts
    • Supporting Health & Safety compliance and studio documentation
    • Overseeing HR administration, onboarding and staff records
  • Finance & Operations
    • Managing invoicing, bank reconciliations and credit control using Xero
    • Processing invoices, expenses and payment runs
    • Liaising with company accountants and supporting VAT returns
    • Preparing monthly financial and management reports
  • Communications & Presence
    • Curating and managing the practice’s social media presence (LinkedIn & Instagram)
    • Supporting the studio’s external communications and profile

About You

  • You are confident, personable and highly organised, with the ability to balance professionalism with approachability.
  • A natural communicator who enjoys working with people
  • Comfortable supporting Directors and engaging with senior stakeholders
  • Strong financial and administrative skills with excellent attention to detail
  • Proactive, adaptable and confident taking ownership
  • Experience with Xero or similar accounting software preferred
