We are seeking a proactive and service-oriented Workplace Experience Coordinator to help deliver a professional, welcoming and well-organised workplace environment. Working closely with the People & Culture team and other teams across the business, the role helps support a positive workplace experience and the smooth day-to-day running of the office. This position plays an important role in ensuring a consistent and welcoming experience for employees and visitors alike.

Duties and responsibilities:

  • Help create and maintain a professional, welcoming and well-organised workplace environment
  • Serve as a key day-to-day point of coordination for workplace and office-related activities
  • Welcome visitors and support a positive and professional front-of-house experience
  • Coordinate onboarding logistics and workplace readiness for new joiners
  • Support office operations including supplies, vendor coordination and general workplace organisation
  • Assist with employee relocation and workplace orientation activities
  • Support internal workplace communications and office updates
  • Coordinate employee events, engagement activities and workplace initiatives
  • Support meeting and training logistics including room setup, scheduling and materials preparation
  • Maintain training participation records and related administrative tracking
  • Coordinate Health & Safety administrative activities including meeting scheduling, agenda preparation, minutes, action tracking and workplace records management
  • Support Health & Safety training coordination, certification tracking, drills, inspections and related workplace requirements
  • Assist with the upkeep and organisation of shared workplace resources, materials and employee spaces
  • Provide day-to-day administrative and coordination support across People & Culture and workplace activities as needed

Qualifications and experience:

  • Minimum of 3 years’ experience in workplace coordination, office administration or operational support roles
  • Experience supporting employee experience or HR-related activities would be an asset
  • Proficiency in Microsoft 365 including Teams, Word, Excel and SharePoint
  • Strong organisational and coordination skills with attention to detail
  • Ability to manage multiple priorities and adapt to changing business needs maintaining a consistent well-organised environment
  • Strong interpersonal and communication skills with a positive and approachable style
  • Experience coordinating meetings, training or workplace activities would be an asset
  • Exposure to Bermuda Health & Safety administration, workplace coordination or compliance tracking activities would be advantageous
  • Proactive, dependable and solutions-oriented approach to work
  • Collaborative mindset with a strong service orientation
  • Professional and discreet in handling sensitive information
