Job Description

Join us as a Technical Document Controller and be the backbone of multi-disciplinary engineering and construction projects.

If you thrive on structure, precision, and keeping complex projects running smoothly, this role will put you at the heart of coordinating architecture, engineering, and digital design outputs. You’ll be the trusted link between design teams, project delivery, and stakeholders, ensuring every document is accurate, compliant, and right where it needs to be.

Role Overview

The Technical Document Controller is responsible for the management, control, and distribution of technical documents and design outputs across multi-disciplinary engineering and construction projects. The role ensures accuracy, compliance, and consistency in document handling, acting as the central funnel between design teams, project delivery teams, and wider stakeholders.

The successful candidate will be highly organised, detail-oriented, and have a strong technical appreciation of disciplines such as Architecture, MEP, AV/IT, Lighting, and Structural Engineering.

Key Responsibilities

Document & Data Management

  • Maintain and administer the Common Data Environment (CDE) or other document management systems, ensuring all documentation is uploaded, structured, and accessible in line with agreed protocols.
  • Create, update, and manage Drawing Registers, Document Control Logs, Transmittals, and Submittal Registers, ensuring accuracy, revision control, and timely submission.
  • Implement and monitor compliance with agreed document numbering, naming conventions, and metadata standards.
  • Collate, check, and issue cut sheets, specifications, and technical submissions in accordance with project deliverable schedules.

Standards & Compliance

  • Enforce and monitor adherence to project information standards, including BIM Execution Plans, Information Requirements, and Level of Information Need (LOIN).
  • Track and report document status, approvals, and changes against project stage deliverables.
  • Ensure delivery of accurate and complete information for BIM integration, naming conventions, and classification systems (e.g. Uniclass, COBie).

Change & Interface Management

  • Maintain Change Logs and Design Issue Registers to ensure traceability of revisions, variations, and scope adjustments.
  • Support coordination between design consultants, contractors, vendors, and specialist suppliers, ensuring document interfaces are clear and aligned.
  • Assist in preparing and formatting technical reports, stage submissions, compliance trackers, and deliverable schedules.

BIM & Digital Systems

  • Upload and track 3D models, federated BIM files, and supporting documentation in line with project BIM Execution Plans.
  • Support the BIM Manager in ensuring audit trails, model versioning, and clash coordination outputs are properly documented and filed.
  • Ensure BIM model updates and documentation reviews are logged and distributed.

Reporting & Governance

  • Prepare weekly and monthly document control reports on status, outstanding items, and compliance.
  • Support compliance with QA/QC, Health & Safety, Worker Welfare, and Business Continuity documentation standards where applicable.

You should have:

  • A minimum of 3 years’ experience in document control and administration within large-scale construction, engineering, or infrastructure projects.
  • Working knowledge of BIM environments (e.g. Revit, Navisworks, BIM 360, or similar platforms).
  • Familiarity with RIBA Stages 2–4 deliverables and multi-disciplinary coordination.
  • Experience using AutoCAD Sheet Set Manager for drawing document management, including creating and maintaining sheet sets, ensuring drawings are up to date, and building structured drawing indexes for projects.
  • Strong organisational and administrative skills with meticulous attention to detail.
  • An ability to interpret and manage documents across multiple technical disciplines.
  • Proficiency in document management systems (e.g. Aconex, Autodesk Construction Cloud), MS Office, and reporting tools.
  • An understanding of international standards such as ISO 19650, BS EN 17412 (LOIN), and COBie.
  • Strong organisation skills with an ability to manage large volumes of data and deadlines.
  • Strong communication skills, able to act as the bridge between technical design and project delivery teams.
  • Comfort in enforcing compliance while maintaining collaborative working relationships.
  • A proactive approach to identifying inconsistencies, errors, or risks in document flows.
  • Enthusiasm in supporting complex projects with accuracy, structure, and reliability.
